V. Working as a "MANAGER - HR & ADMIN." in ALTEK BEISSEL NEEDLES LTD, Chennai from 23.01.2019 to till date.

Roles and Responsibilities:

Day to day activities in the HUMAN RESOURCE & ADMINISTRATION DEPARTMENT functions.

Working areas are:

i.TIME OFFICE:

Monitoring Time Office Functions, Daily update leave slips & cards, C-off, OD, Late arrival, Forget to punch, Permission forms in the Attendance Recording System. Prepare Absenteeism Report and Manpower Report.

Attendance Recording System (ARS)

●Maintaining Register of Muster Roll (Form No.25) for Employees as well as ARS Software.

●Maintenance of Register of Leave with Wages (Form No.15).

●Maintaining Employees Manpower Report (Addition / Deletion) for Head count.

ii.PAYROLL PROCESS:

Payroll process for every month, Prepare Attendance data, arrears, deductions, allowances data to upload in the Payroll software. Generate Salary files, Paybill, Payslip for Onroll/Trainees.

Payroll Preparation and Verification

●Monthly Salary Register and various deduction like PF, ESI, Loan etc and Allowance like Shift Allowance, etc.

●Preparation of Salary statement, Wage register, Payslip, ESI, PF, Loan etc…

●LTA, Medical Reimbursement, Bonus, Personal Loan, Advances, Full and Final Settlement and other payments.

●Preparation of Statement to Bank for salary disbursement.

●Preparation of Monthly Overtime Wages.

●Arrears Calculation with respect to wage revision.

●Bonus Calculations.

●Professional Tax Deductions.

●Coordinate with Accounts Department for payment.

●Coordinate with the Head HR for effective implementation of Performance Appraisal System.

●Handling all the queries related with salary slips, leaves, attendance, and reimbursements.

iii.STATUTORY COMPLIANCES:

To submit the periodical Forms and Returns, maintain all Records/Registers related to ESI, PF, Factory Inspectorate, TNPCB, Ground Water Authority, Fire Dept, Bank, TNEB, Commune Panchayat etc…

Statutory Approvals and Renewals

●Liaison work-with all GOVT departments.

●Preparation and Submission of Half-yearly Returns (Form No.21) and Form 22 Annual Return, Form 11 Notice of Period of work for adult workers, Form 3A Change of Manager, Form 18 (Accidents), Form 3 Stability Certificate, Form 8 Pressure Vessel report, Inspector of Factories.

●Submission of Form No.V (National and Festival Holidays).

●Maintaining of all register related with Inspector of Factories (Form No.25 (Muster Roll), Form No.12 (Adult Workers), Form 7 Lime washing & painting, Form 10 Overtime, Form-15(Leave with Wages), Form No.VI (National Festival Holidays), Form 1 Register of workmen, Form 17 Health Register and Form No.26 (Accidents and Dangerous Occurrences).

●Renewal of Factory Licence before due date (Form 2).

●Renewal of Air and Water Consent Order with Pollution Control Committee.

●Fire License Renewal.

●Submission of Monthly Report to Ground Water Authority.

●Renewals of Company Vehicles Road Tax, Insurance, FC etc before due date.

●Commune Panchayat license, Professional tax, land tax, property tax etc…

●Renewal of sanitary license.

●Police Dept, Revenue Dept, Postal Dept, Panchayat, Health Dept. etc…

Provident Fund

●Remittance of PF challan before due dates based on the monthly salary.

●Transfer of EPF Account (From 13 (R).

●Submission and Follow up for Claim Forms (Employees Pension – Form 10-C, 10-D (EPS) and Employees PF - Form 19).

●Assisting Employees to get PF Loans (Form 31).

●Follow up and Issue of PF yearly Statement (Form 23) and other PF related activities.

Employee State Insurance

Remittance of ESI Payment before due dates based on the monthly salary. Through online.

Online Registration of Accident Report Form (Form 12) and Accident Register (Form No.15) in case of Accident.

Submission of Declaration Form for new members through ESIC website.

And other forms related to ESIC etc…

iv.Welfare & Admin. Activities:

●Canteen: Ensure Quality and Timely delivery of foods to workers and verification of canteen bills and settlements.

●Transport: Monitoring vehicles timing for shift operation, periodical checkup of vehicle register, coordination with transport providers and bills settlement.

●Tour: Assisting to Head HR in arrangement of Annual Tour.

●Sports: Organizing for sports events and prize distribution.

●Distribution of Gifts/Sweets: Arrangement for gifts and sweets for workers on Festival days & Program arrangements.

●Food and Accommodation for External Auditors and Foreign Delegates.

●Contract workmen payment bills, Xerox bill, Transport bill, Telephone and mobile bills, AMC, Canteen bill,

●Uniform, shoe, Travel allowance and conveyance, Medical center, Creche, Canteen, Housekeeping, Security control, Medical reimbursements- Annual Medical Checkups – Birthday gifts – General amenities.

●Monitor & improve the security services of the Factory and ensure that the company property is well protected.

●Compliance with EHS requirements of the Plant.

●Speedy redressal of grievances in coordination with Department Heads.

●Proper administration of contract workers under the Contract Labour Act and in conformity with Company Policy.

●Maintaining Personnel detail files & Employee Database.

v IR:

Day to Day affairs, Handling Employees Grievances, Coordinating Union Bearers Meetings, Handling Union Grievances, Handling Union Demands, Disciplinary actions, Surprise and periodical Factory visits, Handle the welfare issues notice by Union, Union Election, Coordinating with HR Manager for Legal and enquires, charge sheet, show cause, Long Team Settlement negotiations & Arrear settlements, Labour Conciliation meetings, Labour Department related activities etc...

vi. Recruitment

Sourcing – Scrutinizing – Administration of tests – Coordinating interviews – Reference Checks Offer Letter & Appointment Order – Induction coordination – Joining formalities (ID card, collecting personal data, collecting statutory forms and group insurance, Responsible for Employee EXIT process, like Conducting exit interviews. etc...
