Main role / career objectives

Overall Purpose of Job:

To support the delivery of activities, projects and processes that contributes to the smooth functioning of the School, especially the main office.

Meeting and greeting both external and internal visitors to the office in addition to handling all incoming calls with courtesy and professionalism in accordance with the Reception and Switchboard Guidelines Manual. This role also handles all meeting room bookings and reservations efficiently and promptly

Main Responsibilities:

· Manages a variety of administrative activities, processes and projects working closely with PA to the HoS to ensure efficient and timely delivery

· Provide data input, word processing, spreadsheet and secretarial support; Assist in Admissions and Divisional offices, as needed

· Undertake administrative functions in the main office with reprographics, publications and mailings

· Ensure photocopiers are working; where possible, correct any problems as they arise.

· Stock paper at photocopy machines and printers around campus.

Role and responsibilities:

●Meet and greet visitors and clients in a pleasant, professional and courteous manner

●Convey visitor arrival promptly to the appropriate individual and meet or escort the visitor to the meeting room, extending offer to refreshments, tea/coffee etc.

●Ensure reception area and meeting rooms are clean and in order throughout the day and ready for the next meeting
