Position: Admin & Logistics Officer

Provide day-to-day support to staff in general office operations and identify future needs.

Ensure timely welcome services, hotel and flights bookings and other support services for staff and visitors.

Coordinate and management movement register for all staff and visitors in the Yobe office

Effective management of the office operations

Prepare and file documents for signature and/or action, as necessary and ensure that that proper filing systems are in place for the office.

Coordinates the planning and organization of meetings and workshops.

Ensure that vehicles and all equipment are in good conditions and liaise with the Field office coordinator and Humanitarian Admin and Logistics Advisor about necessary repairs and improvements as necessary

Position: Administrative Officer

Support in training, ensuring that the training venue is ready before training kicks off and material and equipment are delivered to the venue.

Ensure the service provider adheres and delivers as per the purchase order issued in terms of training meals and tea/coffee and other provisions.

Have the material and equipment returned after the function for future use and safe custody.

Liaison role- Both with external and internal departments and field office:

Liaison with field officers for the smooth running of the field offices and vehicle movements.

Keep a record of all staff travels and facilitate according to plan.

Liaise with the field admin on respective staff accommodations for staff arriving and departing to designated approved destinations. This includes Red Roof for non-Maiduguri staff, international staff and visitors to the field office.

Manage the staff movement board ensuring that vehicles are available on schedule to transport staff to different official locations

Administration of the vehicle logs to ensure each driver has enough log sheets, that they are duly filled and form part of the payment request for the motor company.

Collection of all invoices, bills for movement and accommodation within the month and of field Offices for processing.

Process payment requests for the invoices for further action by the finance department

Facilitate availability of office stationaries, toiletries, generator fuel and other material necessary for the smooth operations of the guest houses and Office

Position: Logistics Officer

Receive purchase requests, review for completeness and approvals, prepare necessary procurement documentation (RFQ/PO) and ensure compliance with the IMC and donor procurement policy

Provide planning, support and advice to those making a procurement request, then process and manage the procurement process (either locally or internationally) in accordance with IMC policies and procedures, in a transparent, accountable, efficient and cost-effective manner.

Organize procurement tracking system and support program and management team up-to-date and reliable information on the procurement status submit weekly and monthly report.

In coordination with the Procurement Manager, ensure that local market surveys are regularly carried out, to confirm a full knowledge of the availability and price of local items.

Ensure that all procurements are managed, tracked and recorded and identify and suggest items that should be part of a pre-approved tender process, and ensure that open and free competition for procurements is adhered too.

Ensure management and maintenance of accurate filing systems, with documented and supported records of actions for audit purposes.

Contribute to weekly and monthly procurement reports to the in-country management team, pursuant with IMC policies and procedures.

Coordinates local and whenever asked international procurement activities.

Provide necessary information to the Data Officer in maintaining the PR, PO, BPA and other services contract tracking tools and ensuring updates are shared with programs and country office management team on weekly basis.

Position; Asset & Reporting Officer

The incumbent will predominantly be responsible in 3 areas, i.e. asset management and control, logistics analysis and reporting and fleet management for the country program.

Ensure all assets across the mission are tracked and updated in the asset master list with complete information. Coordinates with Finance Department to collect pricing information and payment references of all the assets. Ensures periodic physical count of the assets and tagging all assets with IMC asset ID.

Work in close collaboration with IT Officer for proper accountability of IT related assets such as laptops/desktop computers, printers, servers, etc.

Ensure the accuracy of all the logistics report before it goes to Country Supply Chain Coordinator. Also, ensure correct analysis of various logistics related reports.

Ensure cost effective acquisition and optimal utilization of vehicle fleet. Ensure accurate fleet utilization data and reports are in place. Ensure generators are functioning in cost effective manner.

Ensure all vehicles and generators are properly maintained as per maintenance schedule and on ad-hoc basis.

Pay regular and ad-hoc visits to the field offices to provide on the ground assistance on various asset, fleet and reporting related issues.

Position: Data Clerk/Asset & Reporting Assistant

Organize and maintain tracking documents for e-voucher disbursements and vendor payments

Maintain meticulous paper and electronic records of all vendor payments, including all justifying documents like transactions documents.

Ensures all lost, damage, sold, stolen (or other) items are properly recorded in with an approved Disposal of IMC Assets form.

Advises supervisor on any broken, damaged or destroyed equipment,

Ensures that all movement of items should go through the Logs IMC Asset Movement Form”.

Assists and coordinate project staff on inventory issues.

Assist in providing end of project reports on inventory and equipment lists, locations and status.
