Job Responsibilities (In Brief)

Scanning documents for storage as specified in project control document strategy.

Recording and Transmitting all incoming and outgoing correspondence, drawings, specifications, receipt of documents, minutes of meetings and other project documentation and filing accordingly.

Maintain a hard copy reference library of all documentation which ensures quick and easy retrieval of documents.

E-mailing and recording of all official correspondence and transmittals to concerned authorities.

Registering of internal and external documents in computer.

Prepare the Transmittal for technical submittals and forward to Consultants viz.

(Drawings & Cross Sections, Material Approval Request (MAR), Site Clarification Report (SCR), Confirmation of Verbal Instruction (CVR), Corrective / Preventive Action, Non Conformance Report (NCR), Sub-Contractor Approvals & Method Statement ).

Prepare Transmittal of Documents Viz. (Bar Bending Schedule, Proposed locations of Bore Hole for Bridges and Box Culverts, Subsurface Investigation Report, Laboratory Test Schedules, Calibration Certificate, 28 Days Comprehensive Test Report, Environmental Report, Statistical Calculation of Formwork of Precast Girder, Retaining Wall etc., Geotechnical Report, Grade Sheet, Horizontal Alignment and Curve Report, Pile Load Test Proposal for Bridges, Reinforced Steel Bar Test Report, Rock Blasting Parameter Details, Centerline and ROW Coordinate Data, HSE Protection Details etc.) to the Consultant.

Transmitting the various approved documents and drawings to the concerned persons through document transmittal and maintaining the register.

Maintaining different Register (Excel Sheets) in computer viz. Material Submittal register, Method Statement Register, Shop Drawing Register, Subcontractor Register, Site Clarification Request, Inspection Request & Site Instruction Register etc.

Maintaining different Registers (Excel Sheets for RFI in computer viz. ( Road, Survey, Box Culvert, Bridge, Retaining Wall, MSE Wall, Precast Slab, Precast Parapet, Internal Material Delivery, Building, Utilities, Infrastructure (Water, Sewer & Storm Water)

Remove the old version as superseded when new revision comes and distribution and recording.

Maintaining and keeping separate folder for approved drawings with latest version for the Construction Department for easy use.

Receiving RFIs from the Site Engineers and giving tracking numbers as per category then making copies and submitting RFIs to the Consultant for inspection and approval.

Maintaining and Recording all the RFIs in RFI Register.

Scanning and keeping RFIs in PDF format with hyperlink to concerned RFIs.

Submitting RFI calculation chart on monthly basis to the planning Department.

Always coordinating with the Q.S Department for closing RFIs and giving report per their request.

Follow up with the Consultants for pending RFIs on daily and weekly basis.

Keeping and maintaining hard copy of RFIs in separate files as per the tracking number for easy reference and retrieval.
