Job description
TQM -To assist senior service manager to formalise all systems and processes in the department through creation of the quality and systems procedure.
To oversee the nominated quality assurance inspector in the inspection process to ensure repair quality as per manufacturers and company standards through a system of in/out and stage inspections.
To conduct periodic audits and inspections to ensure all process documentation are maintained as per the requirements.
To manage and control the entire principal’s internet access and login information for the retrieval of technical information available on line from principals and the e-claim process.
Training
To formulate a training budget and to monitor the same.
To ensure that the training facilities are maintained to the required standards to conduct the in house training.
To plan and conduct all the in house trainings as per plan.
To organise and provide the necessary logistic support for the local training programmes conducted by the principal trainers.
To be the focal point to receive all training specified for the dealer and to conduct in house training to cascade the same to the relevant technicians.
To liaise with the principals for updating the information on the training courses available and to depute as per the training plan technicians for the necessary courses.
To keep in custody all the training materials (audio, video, print, multimedia etc.) and ensure their updating.
To oversee the activities of the operator trainer in imparting operation training to the customer operators for the machinery sold.
Warranty
To ensure cent percent warranty reimbursement from principals to achieve the required targets.
To oversee all warranty approvals within warranty policy and procedure guidelines of principals.
To ensure the warranty registration of all the equipment as per the corresponding principals procedure.
To follow up with the workshop and to ensure all the mandatory inspections as per the warranty policies and documented.
To ensure that all warranty claims are reimbursed by the principals to ensure no loss of revenue to the company.
To prepare and submit technical reports and warranty claims within the agreed time limits to meet the standards.
To resubmit returned claims after necessary correction as required.
To provide necessary support to the workshop for implementing the service campaigns to meet the principal standard.
To arrange necessary part returns as and when the principals request, to meet their requirement.
To maintain a proper warranty parts storage system and maintain warranty documents to meet principal’s requirement.
To manage an appropriate database of warranty bulletins including data on WIP and provide information to relevant personnel.
To prepare and send goodwill approval requests to meet manufacturer’s requirements in coordination with sales.
To carry out all the necessary correspondence with the principals for warranty approvals and technical clarification.
Warranty administration
To oversee the service support assisted in carrying out the transportation receipt inspection and hand over sales dept., of the new vehicle/ equipment received. To liaise with sales for any damage/ discrepancies.
To supervise the service support assist in the upkeep and maintenance of the stock yard and perform the necessary periodic maintenance activities for the stock units in liaise with workshop supervisor (PDI &QA)
To liaise with the workshop supervisor (PDI & QA) in ensuring the compliance with the delivery process and the custody of the delivery documentation.
To track shipping documents and liaise with customs and clearing department in the main office to ensure the shipments received as per the ETA.
To follow-up with corporate office regarding payments to principals and suppliers pertaining to warranty operations.
To follow-up all daily and periodic reports and returns and submit to senior service manager, arrange preparation and submission of various reports and returns to the principals as per the schedule.
To provide administrative support to the training and service team in conducting training sessions, principal training, customer training sessions and service campaigns.
To ensure the reconciliation of accounts in warranty jobs and to close out the job cards after receipt of the credit notes/payments/LPOs.
