RESPONSIBILITIES

Handle the overall office administration management and coordinates various office services and activities

Coordinate the transmission and receiving mail and shipments

Handle telephone calls, responds to receive faxes and emails and answers enquiries as appropriate

Manage the executive diary and liaises with all assistant administrators to coordinate visits and meetings

Organize meetings, meeting rooms, issues agendas, and initiates follow-up actions as required

Make travel arrangements as required, including hotels and tickets reservations

Ensure that efficient and effective administrative systems are being developed and implemented

Check for the proper maintenance of all office supplies and facilities, ordering office stationary

Responsible for maintaining the document distribution matrix & 4Projects*) security and permissions matrix.

Reporting on all of Doc-Con activities, documents, and 4Projects* process performance & effectiveness to project management as required.

Provide assistance in the compilation of O&M manuals at the end of project.

Check that all tender documents as well as revisions, addendums, change orders are communicated in a timely manner. Removes superseded documents from circulation.

Responsible for maintaining the projects document management system as well as the invitation access control security requirements (4Projects*)

Perform pre-audits on own department and audits project team for management of records & documents in conformance with ISO 9001:2008.

Audit project team as per document control house keeping and confidentiality policies in conformance with ISO 9001:2008.

Responsible for the Performance Management of all team members, irrelevant of the actual structure below them.

First line support for the document management and collaboration system.

Perform other duties as required.
