Position: Procurement and Stores Assistant

Duties and Responsibilities:

Procurement

Receives purchases and cheque requests, checks for accuracy and forwards them to the Procurement Officer

Maintains contact with vendors regarding orders and merchandise, new products, market conditions and trends and coordinates purchasing from on-site vendors

Receives, inspects and distributes supplies to appropriate individuals and files damage claims with vendors

Assists with the evaluation of the quality and appropriateness of supplies and equipment

Confers with officials from all facility units to determine purchasing needs and specifications

Assists with the coordination of expenditure records with company’s accounts payable in order to assure prompt and accurate payment to vendors

Supports the reconciliation of supplies invoices and forwards the same to finance department

Stores Management

Assists with the preparation and conduction of weekly stock takes, stock reports and reconciliations

Works closely with other departments to ensure a smooth flow of supplies requested and posting of stock items in the company’s system

Assists with the maintenance of accuracy between actual stock balance and records in the system

Assists with ensuring prompt delivery of supplies from suppliers

Supports the preparation of manual receipts and issuance of Notes for suppliers and internal departments

Responsible for the preparation of stores requisition forms for stationery and other items to purchases department

Assists with dispatch through packing lists and liaises with the drivers to ensure goods requisitioned are delivered to the shops
