Administration Officer

Reporting to the Manager

(Site - 1100 Villas Project – Fujairah)

• Secretary Cum Document Controller for Infrastructure

• Responsible in Maintaining, Documenting and Organizing project files in a proper log system for easy tracking and monitoring.

• Maintaining a log of correspondences and monitoring and update the status

• Receiving, logging, tracking and monitoring drawing/material submittals and documents

• Generating and preparing electronic/hard copy Transmittals to the subcontractors.

• Coordinates with other subcontractors for other requirements

• Assist the Engineer in preparing letters

• Provide Administrative support to the construction team

• Booking and coordinating schedules and appointments

• Performing other duties and responsibilities as required by the construction team

Plant Administration Officer

Reporting to the Plant Manager

(Arabtec Plant Division)

• Prepares the daily report & monthly report of all plant, machines and vehicles

• Draft letters for suppliers and dealers

• Prepares report for the plant, machines and vehicles that requires repair and preventive maintenance.

• Inform the user and booking of vehicles for preventive maintenance through the 3rd party.

• Open and close job cards using the system.

• Reviews job cards with discrepancy

• Monitors and Schedule machines for exhaust gas emission test

• Maintain logs for the workshop team

• Maintain a systematic file for the plant workshop

• Provide support to the plant team

• Performing other duties and responsibilities as required by the workshop team

• Verifying and processing of received invoices for payments.

• Preparation and documentation of all related documents in line with ISO 9001 – 2000 procedures.

• Complete responsible of preparing/drafting correspondence.

• Coordinating with sites and projects.

• Coordinating and follow up spare parts to ensure efficient orders and delivery on time.

• Coordinates with the 3rd party with regards to booking of vehicles and repairs.

• Processing service/repair and bookings of all under warranty machineries and vehicles to the dealers.

• Preparing job cards.

• Maintaining an organize files for all job cards done for debiting on sites accounts.

• Prepares a monthly report for all the job cards.

• Performing other duties and responsibilities as required by the plant team Logistic Administrator

Reporting to the Plant Manager/Director

(Arabtec Plant Division)

• Responsible for importing/exporting activities of heavy equipments and construction supplies to Arabtec KSA Projects

• Responsible for adequately shipping and invoicing purchase orders.

• Arrange and send booking of carrier (courier, air, sea, truck) via the freight forwarder and acknowledge receipt.

• Gathering quotations and preparing Bid Tabulations and price negotiation

• Coordinating and preparing all necessary documentation (Customs Invoice, Certificate of Origin, Packing List, etc.) for the movement of the cargo.

• Coordination with transporter and the representative at loading as per the shipment schedule.

• Preparing Shipment Advice and Dispatch Advice for circulation to top Management.

• Communicating with internal and external suppliers for the dispatching of goods.

• Monitoring and controlling of movement of shipment

• Maintaining a database on the shipment file.

• Advise Plant Purchase Dept. to process the LPO against the Shipment.

• Coordinating with 3rd Party certifying (SGS, Bureau Veritas) agencies for the inspection and certification whenever necessary for exporting.

• Receive freight forwarder draft AWB/ BL, revise it and amend any changes and act on all discrepancies.

• Receiving, verifying and processing the invoices related to the shipment for payment.

• In charge for the administrative works and maintaining database of transporters.

• Complete responsible of preparing/drafting correspondence.
