- Provide administrative support to the President

-Manage land inventory and payout of lots from developers and ensure clear title is received and prepare spreadsheet for land inventory

-Key point of contact for all mortgage inquiries from purchaser(s),

lending institutions, law firms and realtors

-Enter new sales into New Star Enterprises and update accordingly as the job progresses

-Enter all new sales into spreadsheets, tracking types of sales and update accordingly

-Prepare and maintain files from the start of construction to completion of landscaping by purchaser(s)

-Apply for warranty, utilities and builder’s construction insurance for all projects and houses

-Scheduling for houses and relate this information to the purchaser(s) on a weekly basis

-Co-ordinate with construction foreman and prepare monthly reports for possession of houses and relate this information to purchaser(s), lending institutions, lawyers and interoffice personnel

-Order all the inspections from municipal authorities and ensure all the inspections are approved before we proceed with construction and ensure that the required documentation is received with respect to each inspection

-Prepare all documentation relating to sale and possession dates to

lending institutions, law firms and purchasers

-Represent MacLachlan & Mitchell Homes Inc. on all house sales as all closings are completed in house by myself and not with a lawyer

-Prepare closing documentation – statement of house sale, GST documentation, Transfer of Title and all pertinent information and send trust letter to solicitors for purchasers on each file

-Prepare all warranty documentation, lot inspections and house inspection forms for purchaser(s) to sign before possession

-Represent MacLachlan & Mitchell Homes Inc. to ensure we receive the cash to close and GST documentation from law firms in order to release keys to purchaser(s)

-Ensure we receive all documentation for grading on all houses and projects and collect seasonal holdbacks from law firms

-Collect Land Developer Deposits once the grading is completed and approved

-Liaison between the purchaser(s), architectural control company and developer once the purchaser(s) complete their landscaping

requirements and arrange for purchaser(s) and builder to receive their landscaping deposit once approved

-Ensure that each area that we build in is complete with final landscaping as per architectural controls in order that the Letter of Credit or security deposit held back is returned

-Bank deposits – enter and balance in New Star Enterprises as required

-Provide a high level of customer service

-Administrative duties – answering phones, relaying messages, opening, sorting and distributing daily mail and faxes, filing, preparing and maintaining files, photocopying and general office maintenance

-Invoicing to purchaser(s) for extras and deletions on upgrades that were requested for their new home

-Coding and authorizing of invoices and prepare cheque requisitions for Accounting Department

-Ensure that the property taxes are paid in a timely manner so we do not pay penalties, process property tax adjustments in co-ordination with Accounting Department

-Order Real Property Reports and submit for Compliance to the municipal authority

-Data entry in New Star Enterprise making certain of accuracy

-Prepare and generate reports as required

-Co-ordinate recognition of employee milestones – gifts, luncheons and plan Christmas parties and staff appreciation events

-Co-ordinate the decorating of show homes with our Interior Decorator

-Prepare spec price sheets and distribute to internal office and sales staff

-Update subdivision binders with current spec price sheets
