Job Description
In March 2012, I was promoted to Human Resources / Industrial Relations Administrator where I was responsible for the following duties:
Employee relations including Alstom site staff Industrial relations
Development and implementation of the Site Mobilization system
Review, audit and monitor that all contractors payments and benefits are as per the site agreement (PLA)
Provide advice and support to Managers / Supervisors to facilitate Workplace Agreement interpretation in the absence of site Human Resource / Industrial Relations Manager
Advise Managers and Supervisors on the handling of industrial disputes and grievances, ensuring full compliance to the respective legislation
Assist Human Resource / Industrial Relations Manager develop a structured process and ensure actions are initiated to prevent the occurrence of any employee relations / industrial non-conformities
Handle recruitment needs for site from discussions with Line on recruitment needs, approval requests for new or vacant positions, check if line managers have identified and drawn up job specifications, liaising with agencies, setting up interviews, interviewing and finalising offers
Ensure local headcount reporting and administrative record accuracy in ALPS
Provide Monthly Statistics on Recruitment, Attrition, Leave, Absenteeism, Agency / Referral comparisons, Manpower Budgets, Starter / Leaver list, Employment Equity reports, CV Tracking

Supported SIM in daily office work
Provided assistance to Alstom site staff as requested by the AP SIM
Developed and maintained site mailing system (In- and outgoing of site letters, fax, etc.)
Ensured the day-to-day operation of the Alstom Site office continued in a professional and well organised manner
Ensured the Alstom site staff had the administrative facilities and resources to function effectively
Maintained the office stationery

Screened CV's according to specifications and job spec
Arranged meetings with Line Managers to hand over short listed CV's
Get confirmed dates from Line Manager and a list of people for interview panel
Contacted interview panel to get dates and times they were available to proceed with interview
Started process of setting up interviews; sent Agent the e-mail with specific time and dates for the interviews; once agent had confirmed the invite; sent final notification from diary to all required and booked a meeting room for interview to take place
Prepared interview packs (including: coversheet, CV and interview notes and questionnaire)
On the day of interview; received candidates; offered them tea / coffee; took them through and introduced to interview panel
After the interview process; sat with Line Manager and made a shortlist of candidates; from this list chose the candidate
Requested reference checks; Kroll and credit checks and a current pay slip from the Agent
Sat with Human Resource Director and confirmed salary benchmark to be offered to the candidate
Drew-up dummy pay slip and got Country Director to approve with a signature before sending out to the Agent or if internal send directly to the candidate
Once the dummy pay slip was approved; start with official offer and get relevant parties to sign
When signed by all parties; then offer can be sent to agent or internal referral
Once the offer is accepted, created IT requisition and lotus notes
Sent notification of the above to parties involved; department PA; IT department; reception; EHS to set-up medical; Admin Manager to process access cards and to induction team
E-mailed Agent or candidate with the checklist for all new starts to bring along on their first day to handover to Human Resources
When induction was over on the first day; sat with candidate to go through checklist for payroll handover
