Working for the New Main contractor of the IT systems, IT networks & security systems for the new airports as the key member of the document control team who is responsible for the control and flow of all design, procurement, commercial and construction’s correspondence/documents to the Engineer, Employer, Stakeholders, Project Team, Subcontractors and Suppliers.
• Preparing Document Distribution Matrix from the Contractor’s Master Document Register (MDR) and maintaining throughout the project. Ensure that this is updated when required.
• Maintaining Document Management System in the company.
• Leading and supervising the document control team and ensure work is completed in a high standard of quality and in a timely manner.
• Providing EDMS training for new joiners and ensure that all Aconex (EDMS) users have appropriate training on the use of the project EDMS.
• Ensuring that all the documentation transmitted to and/or received from Contractors are registered and distributed in accordance with the Document Distribution Matrix through the Electronic Document Management System.
• Aconex (EDMS) Administrator of the organization (creating Aconex accounts for employees and managing the access restrictions of each user).
• Acting as the focal point of communication.
• Carrying out quality checks in the assigned area of responsibility.
• Ensuring filing is up-to-date and in accordance with the quality requirements.
• Ensuring that the latest revisions of drawings and documents are kept updated continuously & respond to queries regarding revision status.
• Supporting internal and external audits and inspections.
• Generating and issuing weekly overdue/outstanding status reports related to project documents, drawings and letters, and carry out follow-up actions as required.
