Since its inception in 2000, SHAMPOO has been a pioneer online journal of poetry (www.shampoo-poetry.com) which now showcases 41 issues filled with the work of over 1000 poets from all over the world, from Pulitzer Prize winners to aspiring kindergartners. The online zine has not only been the conduit of diverse poetry from around the world, but it has also maintained its place as a poetry and art advocate in the San Francisco Bay Area and beyond, hosting numerous events, and for many years providing the most comprehensive calendar listing of local upcoming poetry-related happenings.

This six-month contract position was primarily focused on a special project called the Geriatric Workforce Educational Program, and the primary duty was to collect data and manage its proper input, compilation and utilization into two existent client databases (CMIPS II and DeVero), including updating these long-standing confidential databases for the task. This was accomplished amongst many other duties, including handling multiple special projects from start to finish (this governmental department is the city and county’s largest), prioritizing and completing these and other routine tasks, keeping office records up-to-date and appropriately filed and regularly performing reception duties for the Human Services Agency, handling heavy phone calls and greeting and directing in-person visitors and coordinating meetings on this executive level floor.

2020 – Executive Assistant, Glide Community Housing in San Francisco (released due to Covid-19)

2017 – assisted in a scholastic project at San Francisco State University and, via SNI Companies, conducted executive assistance at two of San Francisco’s largest annual business conferences: SalesForce’s “DreamForce 2017” (San Francisco’s largest annual convention) and the “2017 WorldWide Mobile Technology Conference”;

2015-2016 – held half a dozen short-term contractual jobs assisting executives in the financial services sector (via Career Group) plus one serving a retail CEO; for several of these positions, also served as Office Manager;

August-November 2014 – a 5-month position as Executive Assistant to seven executives at a boutique investment firm; also assisted with completing a backlog of expense reports via Concur, to which the office had just migrated (via Ruby Peak);

June 2013-February 2014 – served remotely from San Francisco as the sole property manager for a family-run real estate business that had at the time over a dozen tenanted rental units in Texas and Arizona;

2013 – Executive Assisted at two investment companies and a financial industry executive placement agency (via Premier).

Executive Assistant to the COO of Barclays Global Investors (2005-2009)

Executive Assistant to the Chair, Asia Pacific of BlackRock (2009-2010)

Served as sole assistant to Rohit Bhagat while he was Chief Operating Officer at Barclays Global Investors and into his tenure as Chair, Asia Pacific at BlackRock (post BGI/BlackRock merger). While primary responsibilities at both jobs were similar, a significant new responsibility at BlackRock was to develop, plan and implement Mr. Bhagat’s travels in preparation for his new position so that he could develop robust relationships with his new staff in over 20 offices in Asia and the South Pacific, including, but not limited to, Hong Kong, Shanghai, Taiwan, Tokyo, Sydney, Melbourne, Seoul, Singapore and Mumbai. Worked directly with each of these offices to build complex international itineraries involving numerous high-impact events and crucial business meetings related to the company merge and to Mr. Bhagat’s new role, including perpetual and in-flux travel arrangements; more complex expense reportage (via Concur); working round-the-clock with staff in Asia, finishing the year and my time with Mr. Bhagat by finalizing his and his family’s move to Hong Kong. Following are some additional job details:

While supporting Mr. Bhagat as COO of BGI, responsibilities including calendar gatekeeping (business/personal), being primary conduit for communications relayed to and from the Office of the COO and utilizing multiple Outlook calendars.

Served as the primary contact, meeting coordinator and record keeper for BGI’s Board of Trustees, BGI’s Executive Committee (which included the top executives of BGI plus executives from its UK parent company, Barclays) and BGI’s Operating Committee (members included the President, CEO, and COO of BGI, among others).

Arranged business travels, particularly with key offices in London, Australia and Japan, while providing comprehensive daily itineraries and meeting materials for each portion of the trip; additionally, facilitated the travel arrangements for most of the COO’s (as well as his family’s) personal travels.

Kept track of and submitted complex expense reports utilizing Concur software; appropriately fielded all incoming mail and telephone calls; planned and arranged on- and off-site company events and business meetings; and promptly, intuitively and appropriately handled super-confidential information.

San Francisco, California 6/2000 to 7/2005

Executive Assistant (including Executive Assistant Team Lead, 7/2004 to 7/2005)

Assisted Rohit Bhagat (VP, later Senior VP) and no less than three additional executives at any time, including Senior VPs, VPs, the International Director of Knowledge Management and several Project Managers. Prepared all travel arrangements and acted as gatekeeper for multiple complex calendars while juggling evolving domestic and international travel itineraries for numerous executive simultaneously; submitted weekly expense reports for VPs, provided regular back-up support for additional executives and receptionist support in rotation with other EAs; planned and either implemented or was on hand for many small and large external and internal events.

From late 2004 until departing BCG, acted in a leadership position over the San Francisco office’s eight-person executive assisting staff, holding regular meetings with them and with Office Coordinator Regina Huber to assign assistants to consultants, monitor individual and team performance and apprise team of evolving regulations.

Executive Assistant, Office of the Corporation

Worked closely with the MIT offices of the President, Chairman of the Corporation (trustees), and MIT Departments to arrange and coordinate 30 biennial Corporation Visiting Committee meetings (extensive two-day reviews of each department and of entities such as the Office of the Dean of Students, Athletics, and others).

Managed and helped implement a database of current and potential institution donors, alumnae and alumni.

Worked with department representatives to prepare meeting schedules; personally oversaw meeting logistics; and developed relationships with hotel, catering and transportation vendors.

Held primary role during three of MIT’s graduation ceremonies: spearheading hotel arrangements, car service and detailed ceremony instructions for scores of participating trustees leading up to and during commencement.
