1.Receptionist Job Responsibilities:

Answer Incoming Calls

Switchboard operators answer incoming phone calls and route them to the person or department needed to properly address the customer on the other end of the line. Clerical Tasks

Switchboard operators perform various clerical tasks, such as filing, copying, and receiving incoming packages from the post office or private services. Take Messages

Switchboard operators take detailed messages for individuals who are not available to accept phone calls. They also retrieve voice mail messages left by customers. Direct Incoming Customers

Switchboard operators make outbound calls to various parties as requested, including international calls. They also contact multiple parties to arrange conference calls upon request.

Monitor Phone Lines

Switchboard operators monitor phone lines to see how long customers are waiting on hold and to address them when hold times become too long 2.Duties

1) Operate communication systems, such as telephone, switchboard, intercom, two-way radio, or public address.

2) Answer incoming calls, greeting callers, providing information, transferring calls and/or taking messages as necessary.

3) Route emergency calls appropriately.

4) Page individuals to inform them of telephone calls, using paging and interoffice communication equipment.

5) Relay and route written and verbal messages.

6) Place telephone calls or arrange conference calls as instructed. 7) Perform clerical duties, such as typing, proofreading, accepting orders, scheduling appointments, and sorting mail.

8) Monitor alarm systems in order to ensure that secure conditions are maintained. 9) Contact security staff members when necessary, using radio-telephones. 10) Keep records of calls placed and charges incurred. 11) Record messages, suggesting rewording for clarity and conciseness. 12) Stamp messages with time and date, and file them appropriately. 13) Answer simple questions about clients' businesses, using reference files. 14) Complete forms for sales orders.
