JOB DESCRIPTION:

Under the general direction of the RMP2 Division Managers who, in close supervision, communication, and collaboration, review and approve output and assignments being delivered.

As a staff member of the management, the Administrative Assistant provides competent secretarial and administrative skills, an efficient record/document keeping and an organized processing of billing in the department. The Administrative Assistant is also responsible in keeping/maintaining the department’s confidential files and correspondences.

SPECIFIC DUTIES AND RESPONSIBILITIES:

Within the limits of the approved operating program, company policies and control procedures, the Administrative Assistant is responsible and accountable for and had the commensurate authority to accomplish the duties set forth below:

1.Creates/maintains a centralized filing system, i.e by keeping a perusal of all memo, reports, billings, references, and records of the department.

2.Organizes schedules, meetings, and other activities for the department such as the following:

a.Calendar of Activities

b.Leave plan schedules

c.Events such as Christmas parties and departmental socializing

3.Prepares/calendars various meetings of Operations and prepares shifting Operations schedule.

4.Creates/maintains a reliable record of the department such as Accountable Opex, OPEX budget, PETRs, etc.

5.Keeps/monitors MPT Leave records (VL, SL, PL) and training/seminars attended by each staff in the department.

6.Conduct the creation of car plan processing to SAP-SRM and secure all documents needed for Area Managers.

7.Effectively process billings through SAP of Operations and PO/Foreign purchase processing.

8.Checks and reviews billings charged to the department. Keep s an efficient centralized file of billing documents for the department.

9.Processes Daily Expenses Statement ensuring accuracy of computation. Coding and completeness of supporting documents of all personnel under the department.

10.Prepares Office of the Manager’s OPEX Budget and consolidate for the department’s OPEX Budget.

11.Prepares material requisitions and safekeeping of corporate giveaways for creation through SAP-SRM for the department.

12.Assists engineers in preparation of job specifications and contracts.

13.Encodes Budget to SAP.

14.Does the reclassification of accounts for miscoded expenses charged t the department.

15.Extends SAP assistance to other AA’s or employees if needed.

16.Monitors employee receivables of the department.

17.Performs duties of Secretary to the Division Manager and for Area Manager as necessary.

18.Does flight bookings of Production B and Technical Services B staff if it has Foreign Travel/Training and assists them in securing other travel documents needed.

19.Supports and participates other activities required to refinery programs and events.
