Duties and responsibilities

ADMINISTRATIVE SKILLS

•Duties & responsibilities included but not limited to the following

•Process Guards’ leave and end of service applications by coordinating with the Accounts Department, HR Department and the PR Department for their pay settlement, ticket and exit paper arrangement.

•Assist employees in any kind of disputes in coordination with Operation and management.

•Prepare Monthly, Weekly and Operations report.

•Update Guard Force Strength of the branch.

•Run and carry out ERP data successfully. All resignation, leave, not returned from leave and terminated employees must be properly detailed. Such data must be tallied with ERP. Report the details on a daily basis.

•With BM approval, schedule resigns welfare counselling timing to retrain them to work if possible.

•Know the progress of labor cases, court cases, jailed cases and has full understanding of these employees’ cases.

•Arrange the provision of security equipment (such as radios, HMD, torch, etc.) as requested by the Operations Inspectors.

•Maintain an updated record of these equipment and process request in case of insufficiency.

•Address guards / customers grievances immediately on notice.

•Handling weekly expenses and controlling petty cash.

•Prepare MSIR as requested and forward to the concerned Departments for signature. Maintain a consolidated record of MSIR.

•Update stationery needs of the Branch and prepare request before supply is exhausted to avoid disruption in the operations.

•Responsible for branch employees filing: CV, passport, education certificate, experiences certificate, training certificate, medical certificate, police clearances, leave application, RP update, promotion, disciplinary action, personal photos, etc. Any shortage or discrepancies in the file must be completed.

•Prepare Guards’ CVs as required for interview.

•Assist the Operations Inspectors in their operation requirements as requested.

•Perform other related tasks as requested by the BM

Event Control Room & Patrolling Supervisor

•Update Client and Guard information all the time.

•Arrange Transportation to pick up new arrivals from the airport and drop them to their accommodations as required by Operations Inspector.

•Arrange uniforms for new guards.

•Send new guards for blood group test, medical test and finger print as required by PRO.

•Update record of new Guards on Training and send report to Operations Inspector.

•Follow up Guards sent or scheduled for interview as required by Operations Inspector.

•Communicate with Inspectors or Patrolling Supervisors any issues or incidents reported by the Guards in the locations.

•Arrange transportation to pick and drop Lady Guards/ Security Guards going for wedding functions and events.

•Arrange transportation to drop Guarding Personnel to the airport for vacation or exit as required by Operations Inspector.

•Arrange transportation to drop sick Guards or Staff to the hospital and to the accommodation.

•To maintain 24-hour communication with all the sites and with all supervisors and managers.

•To ensure that the deployment of shifts are recorded accurately and that sites are covered in the specified time.

•To record all reports in accordance with client procedures and policy.

•To report all incidents to management in an accurate manner.

•To be fully acquainted with all emergency procedures.

•Takes general phone calls.

•Ensure about the guards welfare.

•Follow up with Camp Boss to make sure about the Guards grooming.

•Maintain the records for Guards.
