Job Description

1. RESPONSIBILITIES

Provide office support services in order to ensure efficiency and effectiveness within the Office

Main Activities

Answer all incoming calls and handle caller’s inquiries whenever possible

Re-direct calls as appropriate and take adequate messages when required

Receive, direct and relay telephone messages.

Direct the visitors and the guards coming office for various purposes to the appropriate staff.

Receive and deliver the mail to the concerned staff.

Receive and disburse the mail and documentation from Office to the concerned staff.

Maintain the general filing system and file all incoming and outgoing fax correspondence

Assist in the preparation of meetings and conferences.

Respond to public inquiries

Provide word-processing and secretarial support whenever possible.

Monitors and register visitor access and issues passes when required.

Update security guard’s appointment calendars.

Receive emails and forward them to concerned staff.

Ensure the front office and reception is clean and tidy at all times
