Scope/Description:
The scope and objective of this part of procedure defines the numbering and revision system to be used for documents produced by the PMC and issued to APCRDA under the Agreement for the Project Management Consultant — Capital City Amaravati — High Court Project.
Responsibilities:
Preparing, monitoring, revising, upgrading, establishing and executing the Document Control and Correspondence Procedure, Project site local server document folder and managing document control administrative staff.
To update PMC Master List of Documents. To maintain electronic and hard copy versions of the filing system.
Controlling the distribution, access, and format of all Project records and documents of the Project team, in accordance with the established distribution lists. Upon receipt of any Project document, the DC shall review it for approvals and release authorization. The DC shall timely check and accordingly manage to update the document into the PMC local server folder Structure.
To manage and rectify any deficiencies identified in the daily document traffic workflow.
Monitoring Project correspondence to ensure that transmitted documents have been received and that documents requiring response are returned in a timely manner. This entails direct communication with all entities involved in the Project.
Processing revisions to control documents in the same manner as the original. Superseded documents, if retained, are identified as such. A consistent naming convention shall be established and maintained to ensure accuracy and expedient retrieval.
Providing training and support to the PM, Field Team, Design Consultants, Contractors, and suppliers/subcontractors and related sta keholders regarding the use of Document Control System to manage all Project information. This includes user requests/issues, user access rights, Project backups and archiving, site development, and the overall functionality of the Document Control and Correspondence System.

Documents Downloading/Uploading using various site and FTPs given under Document Distribution via Jacobs file transfer tool for internal and external Documentation.
