. Ticket for travel is purchased for the crew to proceed to the joining port in Indian or Overseas giving the agent details of the crew his arrival details and instruction to meet on arrival and convey to the vessel.

. The crew joining Indian Flag vessels signs the Articles of Agreement in agents office.

. On signing Articles, the crew is paid ones month’s wages in advance and pre- joining expenses.( As per National Board Agreement.)

. The crew for Indian flag vessel collect all work apparels from the approved supplier.

. A covering letter is issued to the Master enclosing the ship copies of Articles of Agreement / Service contract, medical fitness certificates, work apparels receipts, STCW certificates, (as per Matrix) enclosed in a sealed envelope and hand carried by the crew.

. Departure check – list is filled up.

. Ticket for travel is purchased for the crew to proceed to the joining port in India or overseas giving the agents details of the crew his arrival details and instructions to meet on arrival and convey to the vessel. Crew sign – off.

. For Indian vessel when crew is signed – off from vessel, the Articles of Agreement copies 2/5 and 3/5 will be brought by him to fleet Personnel department, duly endorsed by Master of the vessel. ( As per Merchant Shipping Act – Shipping Rules.)

. Both the copies will be signed by H.O.D. for final discharge and 2/5 will be handed over to the crew member, Copy no 3/5 is to be submitted to Shipping Master within 2 working days after the crew arrives in Mumbai, for regularising his sign – off.

. The final settlement of wages of the candidate is prepared on the basis of this portage bill handed over to him by Master.( As per National Maritime Board Agreement)

. In addition, the crew is paid post sign –off expenses. (Based on National Maritime Board Agreement).


. Statement giving details of officer / crew together with expenses incurred and agency / Management fee is prepared. ( As per contract Terms conditions and rates)

. Preparation of disbursement on the basis of this statement and per contract terms conditions and rates are sent to principal by courier.

. On receipt of funds in the bank, receipt voucher is prepared.

. Payment of all vendors including doctor, travel agent, hotel and apparel supplier.

. Petty cash payments and preparation of vouchers for all expenses incurred by office staff for above chargeable or non-chargeable.
