Responsibilities:

Sourcing and preparing agendas and background materials; and initiating timely communication with meeting attendees. Field and receive official telephone calls and routing them to the appropriate staff members.

Drive key team activities and events (such as all-hands meeting, team meetings, conferences, ordering supplies and social events)

Arrange and reserve conference rooms, catering, audio/video and other essential services as needed for meetings and conferences.

Input Travel Requests and Statements of Expenses for consultants using SAP.

This has been a major time-consuming task over this period.

Handling this particular task has always meant working under tight deadlines as in most instances the ticketing has to be done on the day, I receive the request to put in the travel request in order to secure the low-cost fare.

I have always been able to handle this task as I am able to connect to office whether I am here in the office personally or not.

As part of this task, I have also assisted in securing UPI#s for travelers especially for a couple of study tours.

There was a surge in the number of requests as my responsibilities covered the Europe and Central Asia Water Team as a result of the new business model.

I was also responsible for mass mailing of newsletters and publications.

Creating and extending eConsult for Short Term Consultants (STCs) and purchase orders in case of study tours, under tight deadlines, have assisted TGs and anchor staff in creating and extending eConsult for STCs following WBG guidelines and made sure proper selections are made to assist the TPs process contracts on time.

As part of the anchor ACS team, assisted to ensure effective functioning of office machines and diligent follow up on repairs and replacements. Other assistance to staff and consultants involved coordinating office arrangements in the absence of the Senior Program Assistant; managed all efforts to welcome new staff, help in telephone line requests, activation of computer, set up of lotus notes accounts; initiated the practice of internal introductory meetings across the unit, resulting in quicker assimilation of new staff and greater teamwork.

Over the period my work has demanded constant dealing with short-term consultants who are on long-term assignments. It takes a great deal and tack and people management skill to deal with them particularly in regard with proper WBG procedures, particularly in regard to travel, personal days during operational trips, expenses incurred on personal days while trying to acquire G4Visa to come back to the USA, etc. Some of the rules are not in the book, but I have always made sure that I search out the correct answer.

Serve as key contact for the Practice Manager. Screen and manage internationals and local calls and visitors. Analyze incoming issues for priority; research and retrieve data to enable a prompt and discrete response to incoming inquiries. Schedule back to back meetings for the Practice Manager and arrange her business travels using SAP (the travel accounting database). I have used my skills in MS word processing and excel in my daily work as a staff assistant to the Practice Manager and in times of heavy workload.

I have the internal drive to be great at whatever I do, and my attitude aligns with the service I am offering, so that the service is delivered properly. I invest in my personal happiness and I find this makes me a better performer. I look at myself as a life-long learner and am are fueled by progress. I am perceptive, and this enables me to capture a reasonable understanding of other’s motives.

As an optimist, work is more than just an opportunity for a paycheck. It is also an opportunity to learn, grow, and do what I love which make me predictably capable of handling tasks with little or no direct supervision. Eventually, my happiness and satisfaction at work will seep into every other aspect of my life, too.

I find it more efficient to make sure I am moving in the right direction before completing a task rather than waste time on the wrong track.
