Summary of Experience:
Mr. Shabeel has around nine (9) years of total experience as Document Controller and also experience as Administration Officer, HR Coordinator, QA/QC Offier, Project Coordinator in Administrative Field. He was involved in various types of duties as listed below:
Setting up Document Drawing Register (Deliverable Register), allocate Doc/Dwg. Numbers, monitor IDC, maintaining Submittal status to clients and control all deliverables with appropriate revision control, notify Planning Engineer the Weekly % progress of each discipline.
Assist the Project Manager in coordinating the activities of a project to ensure document controls and quality standards are met with the project requirements.
Develop, update and review all project submittal logs and submit the report to PM to close all the pending items on a weekly basis.
Responsible for establishing project files, ensuring that the documents are filed in the project files according to the project filing list, updating the incoming / outgoing correspondence registers and transmittal registers and update document and drawing control system, control the issue of all “controlled & uncontrolled” documents.
Control all documents entering and leaving the project, including its registering, numbering, filling and distribution, utilizing in-house document management system, to all rapid and efficient retrieval of documentation.
Prepare and update Document Control Procedures in line with the Company need.
Monitor and comply with all relevant Legislative, Mandatory and prescriptive data.
Distributing the incoming documents and maintaining electronic file directories, hard copies & tracking as instructed by PD / PM / CM.
Processes forms and maintains files and records in accordance with organizational and/or legal requirements.
Support Project team in prepare and submit Weekly/ monthly report after the approval from PM to the Client/PMCM in a timely manner for updating them the progress of works.
Attend inspections & prepare documents for the approval from Client/PMCM.
Proper coordination/follow up with subcontractors for the progress of work.
Receiving and reviewing, auditing and quality assuring all incoming and outgoing documentation data.
Assisting in coordinating the activities related to document control, including auditing and distribution of controlled documents
Performing audits of company processes and areas confirm compliance with approved control procedures
Take preliminary review of the documents (Shop drawings, RFI, RFV, MT, MS and all other correspondence) to ensure proper completion of all required documents before submission.
Responsible for sending documentation on correct workflows and recipients ensuring all documents are tracked effectively through the management of transmittals.
Using department database to manage, track and control issued documents
Assigning material part numbers, lot numbers and other document tracking numbers.
Assisting in the management, implementation and administration of the department’s electronic management system (EDMS).
Actively lead/participate in the continuous improvement of project EDMS with the means to securely store, retrieve and view information for project team.
Working with subject matter professional on technical subjects in a collaborative, positive manner in preparing controlled document that confirm to require defined formats.
Take the lead in developing final project documentation dossiers in conjunction with contractors/suppliers/company departments and managing all archiving processes.
Follow, implement and prepare project close-out activities as per the project close out requirements.
Arrange airport work permit (LOA) prior to starting the work.
Coordination with HR dept. for the Airport work permit (MOI) for the concerned project team.
Proper Coordination with airport authorities / concerned department for avoiding delays in process of documents flow related to the project.
Assist in QA/QC administration works.
Conduct an internal audit to make sure all documentation are as per the company ISO standard.
Required proficiency in basic word processing, spreadsheet, and database programs. Additional duties may include some data entries, assisting IT dept.
Performs basic clerical tasks, such as systematically arranging letters, and memorandum, and other indexed documents according to an established system.
Operates office equipment and completes general office work.
