Food and Beverage Administrative Assistant

Responsible for providing administrative support to all associates of Food and Beverage Department and assists the Director in setting and maintaining consistent standards in all menus, minutes, training manuals, correspondence, and internal memos.

Performs broad secretarial duties such as preparing correspondences, faxes, thank you letters, warning letters and file maintenance.

Coordinates events, programs, and festivals initiated by the Director.

Arranges and reminds the manager of his appointments, meetings, trainings, etc.

Maintains guests and associates database.

Responsible for Banquet Administrative Assistant job such as preparing banquet proposals, function sheets, distribution, and Opera updates. Assists the Assistant Food and Beverage Manager in ensuring the guests and clients functions are successful.

Assist in updating Revenue Plan, in F& Forecasting Tool.

Assist the Food and Beverage Manager with his

responsibilities by providing administrative support and assisting him in setting and maintaining consistent standards in all menus, LPP goals, Budget and

Forecasting, completing the MMR and Critique report, correspondence, and internal memos.

Prepare F&B Duty Manager Roster and F&B Operational Hours for distribution on a monthly basis.

Maintain files such as GRR report, P&L, Budget etc.

Update Roster in OASYS, print attendance of all F&B outlets including kitchen and stewarding on monthly basis.

Follow up all Overtime, compensatory, charged TIPS etc. from all outlets. All forms that has been signed by the F&B Manager is taken and given by hand to the HR

department.

Preparing & distributing Memo of F&B Outlets Monthly Food and Wines of the promotion.

Prepare presentation for F&B Marketing Meeting

Consolidate all Monthly Sales report from all outlets

Coordinate with the chef with regards to proposed promotion for the upcoming month (Promotion

name/Menu/Costing) then prepare and distribute memo and POSM once all the details are finalize and approved by F&B Manager.

Coordinate with Asst. F&B Manager with regards to Wines of the Month (Wine, cost, description) then will prepare the memo and POSM.

Arrange photo shoot with the chef for the monthly promotion.

Coordinate with the Marketing department with regards to menu printing, tent cards, standee etc.

Assists the Food and Beverage Manager with his

responsibilities by providing administrative support and assisting him in setting and maintaining consistent standards in all menus, LPP goals, Budget and

Forecasting, completing the MMR and Critique report, correspondence, and internal memos.

Banquet Events Coordinator

Update Banquet & ODC revenue report on daily basis.

Print all contracts sent by the Sales Coordinator and keep in trace file on daily basis.

Assist walk-in guest for weddings in the absence of FB Manager.

Assist wedding clients by taking the wedding

details and payment before the event.

Prepare Wedding BEO

Prepare Room Reservation forms for the

wedding couple

Order Flower as part of the package

Arrange the lunch voucher with as part of the

wedding package,

Make bookings in OPERA as instructed by the FB

Manager.

Follow up status of events on the book with PRO status with the Sales department.

Follow up set up, exact mode of payment and preferred lobby signage of definite banquet events with the Sales department.

Prepare BEO for definite events including POP Up and Revised BEO.

Distribute approved BEO

Prepare and distribute Revised BEO should there be any last minute changes on the BEO that has been issued.

Prepare Individual and Lobby signage on daily basis.

Prepare food tags and nametags for the event.

Send Function Information on daily basis.

Book and send memo for all In-house meetings and events.

Assist guest in settling with their payment in the FO.

Maintain back up of all post events.
