Position – Executive Assistant
Front Office Support
-Manage and prioritize the Country Manager’s calendar to ensure that his time is focused on critical issues
-Review all Mission Announcement letters and Management letters and Aide-Memoires requiring the Country Manager’s signature.
-Ensure that the Country Manager receives relevant briefing materials in a timely manner for his meetings. I also provide administrative support for the Country Manager, Country Director, Regional Vice President, and ED’s visits, including arranging travel, handling expense reports, assisting in scheduling, and preparing briefing materials.
-Maintain an efficient electronic and paper filing system to allow easy retrieval of relevant information
-Schedules meetings and conference calls (audio, video, Webex, etc.), including informing participants, and handling logistics (such as conference room reservations, and catering arrangements).
-Process eServices requests and other transactions, such as ordering office supplies and business cards for the Country Manager.
-Organize regular bi-weekly staff meetings and take minutes and follow up on action items
-Ensure and maintain confidentiality in all communication and documentation
-Draft standard letters such as requests for meetings or requests for interviews which are reviewed by the country manager.
-Liaise with government officials requesting a meeting with the Country Manager
-Supervise and mentor the ACS
Mission Coordination Role:
-Point of contact for incoming missions
-Make airline and hotel reservations, apply for visas, and arrange airport pickup and within-city transportation.
-Maintain mission schedule ensuring that it is regularly updated and circulated in a timely manner.
-Allocate office space to mission staff
-Maintains e-mail distribution lists of mission staff and distributes them to the team.
Events Management:
-Handle all logistics for meetings and large conferences
-Select event location, liaise with vendors
-Contribute to the event agenda and ensure the smooth running of the event.
-Monitor country office event schedule and regularly update and circulate in a timely manner
Document Processing:
-Using advanced functions of Microsoft Word, format large bank reports -- page and paragraph numbering, generating a table of contents, inserting footnotes, merging letters, Also, by using the track changes function,
