Responsible for the monthly budget monitoring and cash flow reporting for the City of Salem Willow Lake Water Pollution Control Facility.
Coordinate yearly division budget planning, to include projections for all five sections of the wastewater treatment plant (Administration, Operations, Maintenance, BioSolids, and the Laboratory).
Provide comprehensive contracts and procurement support for the division; initiate contracts, requisitions, annual renewals, change orders, etc. prior to getting Plant Manager, Public Works Director, or City Manager’s approval. Maintain records on contracts and contract renewals, payment schedules, and contact information, etc.
Approve timecards for staff, run reports to determine timecards for the division are in approval status, compute overtime and leave accruals bi-weekly for management, review timecards for accuracy.
Deliver final approval on all standard purchase orders, blanket purchase orders, corporate credit card payments, and other expenditures through Accounts Payable.
Perform Accounts Payable audits as needed to determine if we were meeting benchmarks set by the department.
Supervise the inventory audits for the warehouse annually.
Contract Administrator for several contracts for the treatment plant requiring monitoring of the contract requirements and specifications.
Provided back-up support for the Inventory Supply Services Clerk – Shipping/Receiving of warehouse items, stocking of shelves, distribution of supplies, etc.
Generate confidential correspondence for management – letters, memos, disciplinary documentation, etc.
