WORK EXPERIENCE

CURRENT POSITION: Program/ Administration assistant.

EMPLOYER: University Research Council- USAID Uganda Health Activity, Acholi-April 2023 to date.

I support project staff with the overall aim of ensuring smooth functioning of operations and project activities. I am an integral part of the administrative team and I work closely with senior and technical staff to ensure project needs are met.

Reporting to finance and administration officer, I am directly responsible for the following;

Supporting preparation of invitations for trainings and workshops and follow-up with participants as needed.

Supporting preparation of materials and logistics for outside trainings, workshops, and special events.

Developing checklist for required training materials and equipment with technical lead and preparing corresponding requests.

Ensuring training teams have required materials and equipment packed prior to training and returned to store, following the training.

Supporting gathering of information and organizing documentation for processing payments related to per diems, transport refunds, mileage/fuel refunds to activity participants.

Supporting in managing logistics for meetings and workshops including organization of lunch/tea, preparation of meeting space and equipment, welcoming participants, and preparation of materials for trainings or meetings.

POSITION: HSS Program Assistant (Overseeing 3 clusters-15 Districts of Sebei, Bugisu and Bukedi.

EMPLOYER: IntraHealth International-USAID Regional Health Integration to Enhance Services in Eastern Uganda (RHITES-E)-April 2022 to March 2023.

Reporting to Senior Program Officer, I am responsible for supporting program activities which include capacity building, mentorship of health workers, and support risk communication at all levels in the RHITES-E implementation areas with a strong emphasis on reporting, collaborative learning, and adaption (CLA) and strengthening partner collaboration in COVID-19 response.

Project Design and Planning: Alongside the Senior Program Officer and Technical Advisors, developed activity work plans, concept papers, identified, and engaged key resource persons relevant to the implementation and success of these activities. An integrated approach was applied.

Resource planning and management: In coordination with the Senior Program Officer and Technical Advisors, provided detailed assessment of the resources needed and ensured proper utilization and accountability for the resources including logistical, human, and financial resources.

Quality assurance and control: Ensured activities were implemented according to targets set by MOH and USAID.

Risk planning and management: Applied a participatory approach where key stakeholders in the project implementation were engaged to identify risks likely to be encountered during the project. This was applied during the round three accelerated mass vaccination campaign where the risks involved stakeholder non-participation, vaccination anti-vaxas.

Communication: This involved developing communication schedules and formats including weekly report submission and update presentation in progress review meetings.

Project Implementation: Key deliverables stated in terms of reference were identified. Activities to achieve these deliverables were therefore developed and reviewed against the MOH guidelines as a benchmark for both quality and acceptability. The approved project activities were therefore implemented using a muti-stakeholder engagement and participatory approach that ensured integration, collaboration, quality assurance and maximum outputs. Activities implemented included AMVC outreaches, supervision COVAX backlog clearance, vaccine stocks monitoring, performance reviews, partner coordination meetings.

Project monitoring and Reporting:

These were accomplished through documenting and sharing best practices on uptake of COVID19 Vaccination with Senior Project Officer and submitting weekly reports (progress against planned activities and targets) of project activities to the Cluster Technical Managers and Senior Program Officer as per agreed schedule. Supported in monitoring COVID-19 vaccine stock balances in the Elgon region to establish utilization rate.

Partnerships and networking:

Memoranda of Understanding (MOUs) were signed with various stakeholders. Therefore, ensured strong collaborations and networking with various partners such as District Local Governments, USAID Social Behavior Change Activity, FHI 360, Mbale Emergency Operations Center and communities to ensure COVID-19 vaccine service delivery inputs are available to improve access to and availability of COVID-19 vaccines to eligible populations.
