GENERAL RESPONSIBILITIES

Procurement

Interviewing potential suppliers prior to contract negotiations, including visiting farms and distribution centers and discussing quality standards with vendors

Managing the entire process in the planning of procurement activities, ensuring effective functioning processes to avoid costly delays based on projects’ procurement plans.

Coordinating with all the PSO team regarding production timelines and ensuring the BPR is accurate for all SKU’s to reflect 95% filtrate for deliveries.

Providing all information including competitive quotes from suppliers, communicating with user department on availability of products and ensuring that they provide all the product description before order is placed.

Completing new supplier forms and new stock code forms to be entered in Ms. Dynamics.

Keeping effective lines of communication between the Project/ Programme Managers and the procurement team to ensure priority requirements, timely delivery of goods, works and services.

Working closely with sales, Finance, Qc and Production teams to create an accurate stock forecast and maintain healthy stock levels to ensure there are no stock outs and availability of FG goods as per the sales forecast.

Ensuring effective use of internal Standard Operating Procedures in Procurement, control of workflows, continuous business monitoring and improvements in systems and processes;

Managing and monitor all transactional procurement including tendering processes, evaluation, contracting, contract management, legal considerations, payment conditions, contractor’s performance evaluation and risk assessment; this will include preparation of appropriate procurement documentation leading to the approval of Purchase Orders and contracts;

Reviewing quarterly procurement status report for all purchases and share the Report with the Head of Finance & Operations and Project Managers;

Doing supplier visits for price negotiations, quality service delivery and contract discussion which includes payment terms.

Warehouse and Logistics Management.

Contacting suppliers to schedule deliveries or to discuss shortages or missed deliveries.

Ensuring that all stocks are arranged in a systematic order & are easily accessible & cleanliness is maintained at all times.

You will plan for month end stock takes & ensure that all stock reports are presented to the finance department by the 1st of each month.

Ensuring that all minimum stock levels are being followed & no stock outs are experienced that would affect the production flow.

Developing inventory and logistics strategies to ensure effective & efficient warehousing and distribution systems.

Checking Quality Control of stock being received by confirming that all stock items are inspected to specifications before they are accepted at the receiving section.

Imports Management

Reviewing Entry and IDF after sharing PFI and approving the same to clearing agent for timely clearance.

Liaising with clearing agent on status of goods under clearance tracking of all shipments on line.

Submitting tax estimates of imports and preparing management daily and monthly reports.

Liaising with all clearing agents for timely delivery of import Raw materials from India, USA, Italy and china. All the received containers should have shipping instructions and a file containing all documents opened and properly maintained for costing purposes.

Ensuring all the original documents for imports are received and forwarded to clearing agent 2 weeks before the ETA for all consignments and ensuring there is a progress report for the same, also tracking, i.e IDF, Bill of Lading, Invoice, Packing List, COA, COC, and Marine Cover Note.

Ensuring business permits, KEBS permits, PVOC certificate, insurances, Tax exempt certificates are up to date.

Checking with KRA on duty free commodities and products.

Developing standard operation procedure for the department and ensuring the team adheres to it.

ACHIEVEMENTS

Sept 2019 - to July 2020 Soko EPZ

Successfully applied for ICMS password with KRA and trained as super user.

Streamlined on procurement, stores and logistics SOP’s.

Together with resident officer from KRA and clearing agent ensured that all entries pending were cancelled.

Overseeing the implementation of KUJUA PROJECT by SOKO Community Trust. The project was doing donations of foodstuffs, masks, washable sanitary towels and soaps during COVID-19, to communities in Kilifi, Taita Taveta and Kwale Counties.

Jan 2015-April 2018 – Godrej Consumer Products/ Canon Chemicals

Successful review of prices for both raw materials and packaging materials.

Successfully implemented Disposal procedures which were not in place within Canon Chemicals.

Reduced stock outs of RM and PM from 30% to 2.5% hence achieving 95% production in a FMCG
