MAIN DUTIES & RESPONSIBILITIES:
Conduct interdepartmental audits at the head office, project level, and 2nd party level to make sure all documentation is as per company procedure, ISO standard and project requirement.
Responsible for preparing Audit Reports, NCRs, and Observations for their actions.
Take action to resolve the Audit NCR, Observations and recommendations received from the Clients / Main Contractor within the proposed closing date.
Assist the QA/QC Manager in coordination with the QA/QC activities for smooth and proper implementation and use.
Study tender requirements and prepare quality documentation such as a Project Quality Plan (PQP) or Quality Manual, General Method Statement, Risk Register, or in accordance with tender submission requirements.
Preparation of Project Quality Plans (PQP's) for projects.
Develop a Monthly Quality Report that analyzes the overall quality management system of the project.
Preparation and maintenance of QA/QC Forms and templates which related to all project documentation and processes.
Prepare rejected inspections and open NCR reports and summaries for review and follow-up with the site team for closure.
Implementation of Document Management systems, such as Document Numbering systems.
Monitor whether company procedures, manuals, and forms are properly implemented and distributed or not.
Monitor project QA/QC logs and trackers and reporting to the QA/QC Manager.
Proper coordination with the QA/QC teams for smooth operation.
Prepare minutes of meetings for QA/QC projects and internal meetings for proper record and action.
QA/QC administration works.
Maintain a proper Document Management system for the concerned project folder and company folder.
Retention and Maintenance of Document Management System.
Update and control the list of project contacts.
Distribution of all received documents to the concerned person or department in charge and distributing a copy of the submitted documents.
Handling project logistic activities like receiving shipments from suppliers, sending samples to Clients etc.
Monitor the procurement schedule.
Handling HR activities.
Manage and control office supplies.
Prepare material for submission.
Attending inspections and preparing documents for approval from the client or PMCM.
Assist the project manager in coordinating the activities of a project to ensure document controls and quality standards meet with the project requirements.
Develop, update, and review all project submittal logs, and submit the report to the PM to close all the pending projects on a weekly basis.
Prepare all project meeting agendas and associated attachments as directed by the PM.
Attend weekly project meetings as requested by the PM and keep detailed meeting minutes for publishing to the project team.
Arrange an airport work permit (LOA) prior to starting the work.
Coordination with the HR department for the airport work permit (MOI) for the concerned project team.
Proper coordination with airport authorities / concerned department is necessary to avoid delays in the project.
Proper coordination and follow-up with subcontractors for the progress of work
Collect information from the project team, then prepare and submit a weekly or monthly report after the approval of the PM to the client or PMCM in a timely manner to update them on the progress of the work.
Submission of documents to the Client for their review and approval (shop drawings, as-built, material submittal, method statement, RFI, etc.) as required for the specified project as instructed by the PM.
Prepare and submit correspondence to the client and subcontractors as instructed by the project manager.
Take a preliminary review of the documents (shop drawings, RFI, RFV, MT, MS, and all other correspondence) to ensure proper completion of all required documents before submission.
Responsible for sending documentation on correct workflows to the correct recipients and ensuring all documents are tracked effectively through the management of transmittals.
Maintain and update the company's EDMS system to ensure appropriate file structures are in place for ease of retrieval of documents.
Actively lead or participate in the continuous improvement of project EDMS with the means to securely store, retrieve, and view information for the project team.
Generating regular status reports to support the project members in monitoring the production of documents and reviews and the overall status.
Take the lead in developing final project documentation dossiers in conjunction with contractors, suppliers, and company departments and managing all archiving processes.
Follow, implement, and prepare project close-out activities as per the project close-out requirements.
Assisting IT, HR, Office Administration, and the Technical Team for the smooth working of the project to finish on time.
