Working as part of a team and supporting the Managing Director and all the office staffs. Responsible for the day-to-day tasks and administrative duties of the office including covering the reception area. Also Responsible for ensuring that customer inquiries are resolved at first point of contact, unless specialist knowledge or further investigation is required. Doing this by using judgment and taking decisions within established procedures for each enquiry.
Duties:
Meeting and greeting clients and visitors to the office face to face.
Verify invoices submitted by suppliers of goods, services and work done.
Assist with clerical tasks at invoicing time.
Assist with preparation of budget submissions, and monitor accounts and payments.
Processing orders, forms, applications and requests forms.
Maintaining the Company contact data base, making appointments for the General Manager.
Act as focal point for time and attendance monitoring.
Assist in recruitment functions including pre-employment documentation, induction and transport arrangement.
Typing documents and distributing memos.
Responding promptly to customer inquiries in person or via telephone, letter, and e-mail – always in a professional & efficient manner.
Coordinating the storage, transportation and delivery of goods.
Keeping up to date with all the company's products, services and procedures.
Handling incoming / outgoing calls, correspondence and filing.
Faxing, printing, photocopying, filing and scanning.
Organizing business travel, itineraries, and accommodation for managers and staffs.
