WORK EXPERIENCE

ORGANIZATION: EBOVAC CLINICAL TRIAL SIERRA LEONE, KAMBIA.

POSITION: Logistics & Supply Officer PERIOD: September 2022 to Date.

Coordinating and supervising the hired vehicle fleet, by inspecting rental vehicles before they are use daily monitoring use of the vehicles, fueling the vehicles. Ensures vehicles have current and lawful documentation, assign a driver for each vehicle and travel request. computing report on daily or weekly fuel consumption and vehicle mileage, including vehicle maintenance.

Receiving of all projects supplies and shipment, update and maintain a supplier database following the process in the SOP for approval. Regular follow-up with suppliers to ensure timely delivery of supplies and ensure clearance, transport, storage. Providing weekly updates to the Procurement Officer on the status of the procurement being handled at the country office for follow-ups.

Organize and oversee dispatch of goods in support of all projects, with proper documentation

Managing service agreement related to vehicle maintenance and fueling and monitor fuel consumption and submit monthly reports.

Track all vehicle on the fleet including movement planning and day to day allocation, received travel requests, and maintain trip schedules and staff movement plan.

Ensure inventory is well managed by cycle counts and stock takes and proper documentation of all warehousing distribution activities.

Check and maintain store security measures, e.g., locks, windows and maintain the key management policy

Assist in managing the assets of EBOVAC/PREVAC offices; undertake physical verification of the assets to ensure that the listed assets correspond with the physical assets on a monthly basis. Advice on removal of derelict / worn out assets from the list.

Develop and implement an effective tracking system to monitor the progress of WHO shipments in real time.

Assisted in inventory management, tracking stock levels, and coordinating with suppliers to maintain adequate supplies while minimizing excess inventory.

Regularly implement standard warehouse documentation processes i.e., Delivery report, waybills, store release, stock cards.

Maintain WHO/STV project warehouse activity book recording i.e., warehouse registered for all outgoing and incoming receipts and activities ensures the warehouse authorization schedule is up to date and display.

Liaise with procurement and logistics colleagues at head office on delivery schedules and regular review, update, & share the procurement tracker.

Participate in the joint verification of procured goods and equipment, to ascertain the items confirmation to technical specification and quantities.

Coordinating logistics and transportation including arranging shipment and deliveries, resulting in on time order fulfilment.

Track and advice on items issuance to end users. Ensure stores are kept organized and all movement of goods insides and outsides the stores are authorized and properly documented

Spearheaded the preparation and submission of accurate and analytical report. Monthly warehouse report to supply chain manager every last Thursday of the month.

ORGANIZATION: DISTRICT HEALTH MANAGEMENT TEAM (DHMT) KAMBIA.

POSITION: District Logistics Assistant PERIOD: September 2020 to August, 2022

Assist in Ensuring that logistics management information system (LMIS) is fully functional and operational at the District Medical Stores (DMS), District hospitals and PHUs

Assist in Receiving of all medical supplies including donations and prepare distribution matrix with the attention of FICO, DMO and CMS and facilitate supplies to health facilities.

Assist in keeping track of all supplies received and dispatched through the warehouse and keep proper documentation for these movements.

Ensured timely distribution of medical supplies according to approved plans and facilities coordination with the respective units, PHUs and swiftly provide copies of supporting documents.

Maintained logistics related databases and acquire experience with inventory management software.

Provide guidance on general management of fleet as it relates to regular inspection, and supervise the process of repairs and maintenance of vehicles and monitor and ensured drivers comply in filling the vehicle log sheet.

Assist in Ensured the district medical stores are regularly fumigated against pests, rats, and rodents.

Assist in collaborated with other team members to develop plans for warehousing and distribution of health commodities to various PHUs in Kambia district.

Assist in ensured that issues such as missing items/quantities, quality related issues, inventory adjustments that are a result of damage/expiration/theft and other causes are reported on a timely basis.

Assist in Equitable and timely distribution of medical and non-medical supplies is maintained and prevent stock-out in all the PHUs in the district.

Assist in Quality LMIS reports generated on time from all district PHUs, district hospitals and DMSs and submitted monthly to the central medical stores (CMS).

Maintaining supply chain inventory & records to ensure processes meet legal requirements standards.

Ensures effective tracking of district health management team (DHMT) assets and establish a comprehensive fixed assets inventory and frequently update the fixed assets registered.
