JOB PROFILE:

I am overall in-charge of Site Office & Camp administration to make sure day-to-day activities in site office/camps running smoothly like basic HR Joining to Exit formalities, process of FRRO, Housekeeping, Pantry/Canteen, Travel arrangement/ Carpool/ Vehicle management, staff/labour camp accommodation/facility etc. Monitoring security of Site office/Camp, local purchasing, keeping proper record of office/camp assets etc. Handling staff & labour issues. Office monthly /yearly budget preparation & implementation. Petty Cash Management, Invoice preparation, technical site documentation controlling, Lisioning with locals & local Govt. bodies. Registration of company under

“Shop & Establishment Act”, Professional Tax registration process”. Able to Handle the company CSR activities & Grassroot level social work activity These are my key responsibilities. HR: -

Basic joining and Exit formalities regarding staff. Support to develop & implementation of office admin/HR procedures and policies. Employee Induction/Communication of Corporate Policies: Responsible for conducting induction for the employees and updating them with the corporate policies

Taking care of job timings of all employees through biometric machine, Attendance & Leave administration Take care of Mediclaim policy for the employees

Circulation of resignation of an employee and its acceptance, to all the departments to collect No dues certificate. Site staff Payroll Management

Reporting day to day HR & Admin activity/issues to Senior Manager Admin/PM in HO office. Admin: -

Oversees and administers the day-to-day activities of the office; develops policies, procedures and systems, which ensure productive and efficient office/Camp operation. Provides assistance and support to the Project Manager in problem solving regarding labours & staff. Supervises the work of employees in supporting roles, including assigning workload and monitoring employee performance.

Coordinates the disposition and/or resolution of individual problems and disputes involving Labours, staff etc. Oversees the operation of office accounts, petty cash, Preparation of Invoices, submission and Payment follow up. Maintaining calendars and travel arrangements like local carpooling pick up & drops and vehicle/fleet management for site. Vehicle records, insurance, fitness, RTO Taxes etc. Finalizing AMC’s and overseeing maintenance of office equipment’s & infrastructure of site office/camp. Security – management with the security partner for site office/camp. In Transportation- Route Mapping, Repair & Maintenance of Buses, taking care of vehicles documents like Insurance, Pollution, Registration, Road tax, Road Permit etc. ; Maintain logbooks & Students Attendance Register, Communicate with Govt Local transport Authority for rules & regulation.

Handling VIP guests and dignitaries and arranging for their stay & knowledge FRRO process for foreigners. Arranging conference room calendar for meetings

Responsible for event management, organizing farewell party, festival celebration, Birthday wishes and office parties etc.

Facilities: -

Ensuring serviceability of office/camp equipment & maintenance like Air conditioners / Xerox / fax / PC / printer / projector etc. & pantry equipment like water cooler / Tea vending m/c / oven / water filter and Carpentry work/ Sanitation/Pest Control services/ etc. of site Camp/office. Coordinating and managing of office premises/Camp in housing keeping, Gardening, Canteen, transportation including local and flights booking, office supplies, reproduction and printer equipment, and all other supplier and vendor contacts.

Meeting with senior managers to review office performance and define means to improve service. Liaison: -

Liaising & maintaining very good relation with Government, Semi-Government and Local authorities & Clients as per the requirements related to the site & management

CSR Activities: - Able to Handle the company CSR activities & Grassroot level social work activity. Documents Controlling: -

Managing all flows of documents either in electronic form or on paper support Ensure Document Management accordingly to established procedures or standards (documents numbering, formats, issuance, review, dispatch, recording and archiving) Maintain and manage electronic and hard copy documents as required

Collect, scan, stamping, distribution, and upload documents following set procedures Ensure all technical documents, such as reports, drawings and blueprints, are collected and registered in system Drawings/Submittals/RFI controlling work like filing, Inward and Outward documentation all process, Drawings- Submittals-method statements revision, approvals etc. Ensure all drawings/documentation are correctly identified, distributed and filed/stored Establish and maintain the Master Document Register in cooperation with the Project team Ensuring the use of standardized forms and templates Preparation of PPT presentation
