KEY AREAS OF FOCUS STRATEGY

Handle 96- Bank branch offices and 10 UPR-Branch’s Office Tamil Nadu, Pondicherry and Hyderabad Location.

Prepare back up plans where needed to manage downtime of critical equipment’s like UPS, AC’s etc.

Ensure that adequate hygienic is provided in all branch office Location.

Ensure that adequate and hygienic tea / coffee / drinking water provision is made for employees at competitive costs and within budgets.

Understand Branch Banking / WBO / Retail Asset’s plan for the financial year for its expansion and retention / relocation plans for Branches, ATMs, Currency Chests, Clearing Houses and Offices for the FY.

Based on the understanding identify the prime / relevant catchment area in multiple locations of a village / town / particular part of the city in consultation with relevant Business representative.

Identify at least three premises for each of the location suitable based on business requirements in the catchment area for relevant Business recommendation.

Carryout preliminary technical and legal due diligence for all the three short-listed premises

Negotiate with the landlords along with Business representatives to achieve the most effective rentals for the short-listed premises in each of the locations.

Prepare detailed proposal for each shortlisted locations for recommendation from line of Business to Group Head (Infrastructure / Branch Banking) /MD through Consultant.

Collect legal and premises related statutory documents for legal due diligence and seek clearance from Corporate Legal from each of the locations.

Engage with landlord of short listed premises for execution of lease agreement post legal clearance and complete registration.

Ensure that all critical assets and equipment’s are covered under AMCs and are kept in good working condition.

Ensure that offices are secured with pest control.

Ensure that the offices and all office and common area is kept clean and deploy necessary and adequate number of housekeeping staff to manage clean and pleasant environment in the offices.

Deploy adequate and qualified office staff and necessary processes to manage the front office, especially visitor management and handling of all incoming calls to offices.

Assist in Laying down protocols and processes for use of common facilities within the office (e.g., conference and meeting rooms etc.)

Work closely with the operations, finance, HR, IT and other teams for co-ordination of various organizations tasks and activities.

Monitor multiple projects, liaise with landlords / statutory bodies for electrical power etc. and follow-up with CPC and vendors for deliveries.

On project closure certification of bills and business / admin handover and ensuring rectification of defects and addressing snag-lists.

Manage day to day operational aspects of a project and constantly monitor and report on progress of the project to all stakeholders

OPERATIONAL SECURITY AND SAFETY

Assist in Laying down processes and hire adequate security staff to secure the safety and security

Assist in Laying down processes for securing all Office assets and their movement into and outside of offices.

Suggest on methods and technology to be used to secure the safety and of Site offices.

Monitor the approved methods and technology (e.g., CCTV, Access control etc.) and assume responsibility for smooth running and good maintenance of all systems and equipment.

Ensure that security and safety meet standards required under ISO.

BUDGET AND PLANNING

Manage Administration budget and preparation of MIS, ensure cost optimization without compromising on quality

Work closely with Finance and HR team on monthly/Quarterly/Annual budget, procurement planning

Provide reports to management on a regular basis on the activities managed and cost improvement initiatives

FACILITY MANAGEMENT

Ensure all repairs and maintenance at offices and non-IT equipment’s and assets, including but not limited to furniture and fixtures, air conditioning systems etc.

Oversee day to day working of the admin department and people.

Facilitate processes to meet regular needs of employees for submission of claims for conveyance, meals etc., to be approved in line with approved policies and suggest improvements / changes to those policies to leadership team where needed.

Assist in Laying down processes for management of departmental petty cash and periodic reconciliation and settlement of the same with Accounts.

Ensure that all vendor bills are checked, approved in line with approved Delegation of Authority (DOA) and submitted to Accounts for payment.

EMPLOYEE HEALTH AND SAFETY

Participate in audit process (BCM/BCP) for Administration function

Ensure effective risk management process is in place e.g. Fire, statutory compliances, Electrical Inspections etc.

Develop and maintain up-to-date, effective security measures to protect the center’s properties and staff

Ensure compliance with labor laws, health, safety, security and environment (HSSE) and vendor trainings

Supervise the development of health and safety policy for the center. Ensure the center meets health and safety requirements.

OPERATIONS & GOVERNANCE

O&G Manager is to manage and improve the processes for SLA Management and ensure teams adhere to the same, supporting the adoption of the client specific policies and procedures, systemic level risk and issue coordination and resolution, coordination of the regular project level reporting cycles, coordination of project Governance arrangements and periodic business review with clients and relevant stakeholders.

Additional responsibilities include assisting the Governance lead with defining and updating the standards and governance, manage funds allocation, revenue recognition and invoicing, contributing to Business and Quality Reviews and coordinating activities in support of deliveries.
