Operations Coordinator of the Health Information Management Department

Responsible for maintaining the paper medical records in the hospital file room. I also worked with the file room clerks to ensure they were following all State and Federal for purging medical records.

Managed the Release of Information process, here I also took on the responsibility to eliminate the need for a third-party vendor to come on site and release records, minimizing the HIPAA violation risk. Had the privilege to develop 4 employees to handle all the Release steps in house, thus bringing the revenue to the department’s bottom line. I also maintained a very strict 72-hour turnaround.

Chart analysis is another area that I had responsibilities to, here I would work with the analysis team to ensure that all physician deficiencies were verified and assigned in a timely fashion. Within this role, I worked very closely with the Medical Staff manager to ensure that all Medical Staff rules and regulations were followed and applied consistently. Also had to make the decision to suspend a physician’s privileges if their work product was not to State and Federal standards.

Created the Transcription Support Team as a work around to some of the difficulties created with the new Electronic Medical Record. Here I was enlisted to verify dictations were being typed on the correct patient visits and that they were appropriately named documents. I would also meet with physicians to ensure the quality and turnaround times of their dictations were met.

Coding Liaison – While in this role, I would work closely with the Coding Coordinator to reduce the Accounts Receivable (AR) on a weekly basis. I assisted in working with the coding staff to efficiently code all of the patient cases that are held to timely billing guidelines. Also aided in the communication between the Release of Information team and the coding staff to defend coding practices and the letter appeal process.

Assisted in HIPAA investigations and the reporting breaches or violations back to the Office of Civil Rights.
