Over 09 (Nine) years of experience in Construction Industry (Civil and MEP) as Document Controller / Secretary / Administrative Coordinator. Currently working under one of the Grade AA Consulting Engineering Company (M/s. Mazen Alumran Consulting Engineers (MACE) in the Kingdom of Bahrain. Establishing and developing the complete documents control system to handle all outgoing and incoming correspondence, external and internal transmittals/distribution form, IFC drawings/shop drawings, preparing the project materials schedule, tender’s documents/proposals, technical documents as like MAC, RFI, FIR, IR, MIR, MS, SAC etc., and others company essential documents. Responsibilities of Duties:

Office administrative and secretarial works including organizing to the all.

Office Coordinator (Admin) as controlling to the Reception, Site Transports, Store, Time Keeper and day by day Office Requirement.

Reporting to project manager day by day & fully typing works under pressure of Project Manager / Engineer’s along with assisting and supporting them in their daily duties.

Sending and receiving emails on behalf of the Project Manager and drafting the email and report writing.

Manage outgoing / incoming correspondences (PDF and hard copy) with tracking register.

Maintain and organize all the paperwork for the Project Manager / Engineers.

Liaises with client / consultant / contractor / subcontractor.

Submitting/receiving technical submissions as like drawings, MAC, RFI, FIR, IR, MIR, MS, SAC, etc. including supporting the project team to preparing cover page of documents submittal.

Implementation of new procedures and templates to control the entire flow of documents.

Maintain standard tracking registers for outgoing/incoming correspondences, IFC drawings/shop drawings, technical documents as like MAC, RFI, FIR, IR, MIR, MS, SAC etc., and general documents transmittal.

Maintaining control of documents according to the ISO procedure, along with check compliance & quality of documents and distributes documents to relevant people.

Controlling all project drawings both hard and soft copies through tracking sheet with revision as per submitted & received.

Reading the shop drawings and try to understand the technical activities at Site.

Receiving all the documents from consultants, suppliers & sub-contractors and circulate it to the concerned. Emailing the same if required.

Supporting project team to preparing cover page of submittal for shop drawings, MAC, RFI, FIR, IR, MIR, MS, SAC etc. and other project documents.

Setting up Document Control requirements of a Project and implementation of database management system.

Coordinate with various project personnel in establishing document control procedures and systems.

Responsible for all document control activities for the projects.

Full responsibility of all the incoming and outgoing project documents such as registration, reports, drawings, submittals, transmittals and all project documentation.

Preparing daily, weekly & monthly progress reports.

Perform all clerical works which include filing, typing, photocopying, fax correspondence and other works being assigned from time to time.

Keep all project documents orderly complete and categorized for easy accessibility to specific

records and projects.

Maintains an updated record of all approved documents and their distribution clearly.

Maintain updated submittal log, monitor the submittal schedule and status with revision.

Maintain all hard copy files of project documentation with files register including revision.

Distribution of all documents as like letters, drawings, materials submittals/data sheets, invoices, delivery notes, etc. in related to departments as per distribution guide.

Keeping electronically updated file register in excels, submitting, receiving documents with information and instructions by Project Manager as required in the project.

All files of the concerned project should be maintained as per the ISO Procedure as attached corresponding file list register with the specific file indexes.

Maintaining all new files with respective stickers and updating in the list of files.

Scheduling the project meeting with arranging the meeting room, and typing and preparing the minutes of meeting and send it’s to all.

Arranging gate passes for project staffs including workers, scheduling inspections of vehicles, equipment, heavy machineries & tools etc., organizing of access for the material and machineries through project main gate security to site place.
