Administrative Assistant – March 2022 to present.

• Provide dedicated support to senior executives like scheduling meetings, communicating with clients to understand their needs, and making reports for the managers. Collecting information, documents, and data to present to the management team to onboard the client on our system after careful consideration of their backgrounds and previous client history.

• Speaking with Canada Revenue Agency (CRA) agents and providing them with necessary information regarding the tax returns, if required discussing the concerns with the management team to answer their questions. Filing the personal, corporate, and municipal tax returns with Canada Revenue Agency after proofreading the final documents and receiving the signed tax documents from the clients. Mailing the paper copies to CRA tax center when needed.

• Managing and supporting the team by providing regular reports to the management team for any concerns or issues the staff has with the current files. Providing basic support and helping them answer the queries regarding the documents provided by the client. Providing complete notes and information provided by the client regarding their files.

• Professionally communicating with the clients to collect the data by providing them access to our internal individual or corporate software and guiding them to easily upload their documents. Assigning files to the staff according to the capacities and level of urgency.

• Ensuring integrity to the client’s confidential information and documents. Keeping track of the documents and saving it securely on the drive. Constantly improving the process of data collection and making efforts to transfer the clients providing paper documents to upload documents online eventually improving effectivity and efficiency.

• Undertaking the Accounts Receivable (AR) procedure to expedite the collections process for our accounting team. Emailing and calling the clients to get the outstanding balance cleared at the earliest. Accepting payments through Credit Cards, mailed cheques or e-transfers from the clients, and updating the internal database. Processing payments through QuickBooks and keeping a detailed record of each transaction.
