RESPONSIBILITES

Leading the Document Control Team & operations

Coordinate with Client, PMO, contractor and Project DC Team.

Leading & assisting the document control team in Preparation

& Submission of documents to the consultant. (Like: RFI, RMI, FTR, CPC, Material Submittal, Document Submittal, NCR’s, Memos, Correspondences, Shop Drawings (Civil, MEP, Arch, QA, QC) & As Built Drawings as per ISO Standards within the deadlines.

Ensure of quick QA QC check before official submissions.

Full fill the Client's DC requirements.

Prepare DC reports and dashboards Templates and Formulate the Excel Sheet.

Distribution Strategy and workflow Template.

Provide Document Control status input for Weekly and Monthly Progress Report.

Monitor EDMS and ensure that all documents are updated.

Prepare & Review Document Control Plans, Procedures and Guidelines.

Implementation of EDMS System.

Follow up with the Project Team for their Overdue.

Provide Training to the DC team and Project Team.

CV Selection & Interview of DC staff.

Monitor overall document Management Operation

Provide training and guidance to new users.

Administer and maintain the EDMS, including user access controls, system configurations, and security protocols.

Prepare DC reports, dashboards templates, and formulate Excel sheets.

Develop and implement document management policies, procedures, and guidelines to ensure consistency and compliance.

Establish and maintain document control processes, including document creation, revision, approval, and archiving.

Monitor and track document lifecycle stages, ensuring timely completion of tasks and adherence to predefined workflows.

Conduct periodic audits and reviews to assess the accuracy, completeness, and compliance of documents within the EDMS.

Handling confidential documents like Project Contract, Specifications, Tender documents, B.O.Q, V.O’s, E.O.T’s, Payment Certificates & official correspondences.

Involve in preparation of reports (Daily, Weekly, Monthly) by coordinating with Planning, construction & technical teams.

Assisting the Project Manager & Planning Engineers to update Project plans.

Preparing correspondence, memos & presentation reports.

Prepare & raise purchases requisition for purchase of office stationery & equipment's.
