Duties & Responsibilities at the above Organizations:

Preparing a weekly HR report, all the activities within the week internally and externally and report to the management.

Liaise with occupational health and safety office for staff health audit, facility safety, staff statutory requirements like health certificates, safety trainings. Handling staff welfare-work safety, reporting injuries to the labor office in time.

Maintaining and updating all Staff files, that is existing staff, contract staff and exit files, categorizing the files, ensure all requirements are in the file, resume, bio data, leave forms, training details, role description performance details and disciplinary information.

Responsible for company WIBA insurance claims and follow up, all the way from the time an injury occurs, report to labor office, notifying the insurance and percentage calculation by the Doctor. Ensure new employees are enrolled after the probation time and always in constant communication with the insurance to comply with new changes that may arise.

Performance management, actively involving employees, give feedback, and create culture of self-improvement and encouraging managers to be mentors. Planning, Developing, Monitoring and performing, Reviewing and Rewarding cycle: Performance improvement plans. Reward and recognition, performance appraisal, 360-degree feedback, MBO, KPIs, job rotation, and advising staff orally and in written.

Wages and salaries administration- Payroll administration, reconciling discrepancies between bank copy and system payroll in smart financial, printing of pay slips and distribution. Collaborate with accounts department to ensure employee queries in regards to deductions are implemented accordingly. Generated statutory deduction figures from the system for accounts department for further scrutiny for deadline payments.

Develop and implement staff training, development plans in consultation with the Head of Departments and Directors and organize all the logistics around trainings. We collaboration with accredited training institutions like NITA, firefighting and first aid management skills, machines and equipment operations.

Disciplinary and grievance handling procedures-in terms of show-cause letters, warning letters, suspensions and terminations by following laid down process in the employment Act and disciplinary procedures as it is in the HR policy document. Liaison with external statutory bodies like Bakery Confectionery Food Manufacturing & Allied Workers Union, Kenya Association of Manufacturers, Environmental audit reports to NEMA on Environmental impact assessments, occupational health and safety, energy audits, WIBA insurance and company advocates, Prepare forms for statutory payments.

Ensure the organization is in line with ISO standards on human resource training practices, by identifying training needs in liaison with head of departments.
