Job Description:

This position has given me a wide range of finance and budgeting principles. I have written grants, worked with the Montana Office of Public Instruction and developed stronger leadership and communication skills. Job Title: Transportation Dispatcher/Secretary (Asst. to the Director)

Job Description:

Work directly under the Director of Transportation to handle all the daily functions and to coordinate personnel for the transportation department.

Bus Related Work Duties:

? Create all bus routes and runs for the district, including our special education department, force transfers, early morning & head start departments.

? Assign and coordinate all charters and functions in district and out of district for all elementary, junior high and high school.

? Work directly with the District Athletic Directors at the Junior High and High School to schedule charters for all athletic functions in coordination with all other district events.

? Manage the travel vouchers, credit cards, gas cards, and driver's logs for all district out of town charters.

? Call out subs on a daily basis for the drivers/monitors in the transportation department.

? Work evenings and weekends making sure all charter drivers are in safe or handle any calls associated with bus dispatch or problems for students or drivers on the road.

? Report all student bus related information to the drivers for their routes as called into the Bus Transportation.

? Keep all substitute drivers? information recorded and kept up to date just as a regular

driver is recorded on the TR-35 form with Office of Public Instruction.

? Print all route and information, including directions and mapping for routes or runs for the substitutes. Upon hiring; make sure the substitutes receive appropriate materials and all routes most common called upon.

? Schedule all drivers and monitors according to their union contracts.

? Maintain all TR-35 driving records, medical, first-aid/CPR records for the drivers in district and with the Montana State Office of Public Instruction, as well as first-aid/CPR and any training updates for the Monitors in the department.

? Record all bus information and reports with the State, including:

? TR-1 (Registration of School Bus and State Reimbursements)

? TR-4 (Individual & Isolated contracts for Transportation)

? TR-5 & TR-6 (1st and 2nd Semester Reimbursement Claims)

? For budget purposes, I coordinate with each driver and monitor on information of their individual routes, including their bus mileage of runs and routes and student rider information. Student enrollments, rider information, and mileage are put together with computer generated forms. The computer generates reports based on information entered for each rider whom is enrolled in transportation. Having computer generated forms and actual driver information for each student body allows me to submit accurate information for the Transportation Department.

? I am responsible to submit the Transportation Budget Projection for the upcoming school year for the Elementary and High School Budgets to the Director of Transportation and the District Finance and Budget Director.

? Keep accurate data and information collected and generated for any audit purposes.

? Each new school year I meet with the Director and the County Superintendent of Schools to have our routes approved I submit each route, a map and direction page, including each run assigned to that route.

? Take care of the planning and discussions pertaining to Out of Bound Students and student stops. We discuss other district buses that may need to cross into our district, or our district buses that cross districts for pick-up purposes with other County Schools and the County Superintendent of Schools for each upcoming school year.

Secretary Duties:

? Include Payroll for the mechanics, monitors, subs, and drivers for the transportation department.

? Dispatch drivers and answers two-way radios to communicate with the drivers or Director of Transportation.

? Answer and handle all calls pertaining to transportation: drivers, students, or bus complaints or comments.

? Coordinate and work directly with the Director on concerns and needs related to bus routes, personnel, department information.

? Maintain inventory and supplies in the Transportation Office; order and purchase as necessary.

? Invoice and record all purchases for the mechanics for parts and supplies and keep track of the month to month open purchase order amounts and totals.

? Invoice schools and departments for the mechanics labor and parts for any vehicle or unit worked on in transportation.

? Invoice all charters taken on district buses or contracted by the transportation department.

? Submit District field trip, Fuel reports, and insurance rider reports to the District Accounting Department.

? Maintain strong confidentiality off all information concerning, parents, students, staff at all times.

? Works to find the best communication paths for all employees in the office. Keep a positive and open door of communication when working with our employees, parents and students.

? Report and assist the Director on any resolution or lines of communication that can better resolve any miscommunications, problems or complaints, and improvements the office of Transportation can make.

? Type all necessary correspondence for the transportation department.

? Assist the Director in maintaining and updating all rules and procedures for the district.

? Update and verify driving, medical, and all records are up to date on our Employees (Driver/Monitor)

? Update Student and Employee Handbooks. Make all changes necessary for print, including district policy changes.
