Assist chapter committees with claim form, and processing the claim forms upon submission. Making sure all documents are attached to their claims forms and submit to the AMS for payment processing.

Perform a range of complex administrative tasks. Creating forms, updating forms, reviewing files and gathering data for current Fiscal Year.

Developed and maintains files per the CAP audit review/findings: Files are set up and monitored in the Records Room.

Human Resource: Perform human resource management duties such as position classification, reclassification and qualification assessments; Participate in the development and recommendation of operating policy and procedural improvements. Advertised vacant positions, and prepared the Job Vacancy announcements, Job description, Project Budget Announcements; Prepared Personnel Files and vendor Files for all Projects. Provide Project Beginning Reports upon projects that started; Pre-screened applications received and schedule interviews, composing interview letters, conducting confirmation of interview, composing interview sign in sheets for the front desk and sign in sheet for the interview panelist. Composing letters to interview panelists to conduct interviews. Typing and researching the Interview questionnaires, making sure the questions correspond to what the job is going to be performed; Prepare all interview packets which include: Interview score table, sign in sheets, interview questionnaires, applicant applications, confirmation of interviews, memo of invitation to the interview panelist, Job Description, and a copy of the interview letter to applicant. Non-Selection/Selection of applicants: write letters of non-selections to applicants, and letters to selected applicants indicating the orientation date. Conduct Orientation for all new PEP workers. Type out PAF’s for new employees, and all payroll documents needed for payroll. Orientation consist of orientating the standard of conducts, alcohol/drug usage in the work place, Memorandum of agreement, employment agreement forms, NM hire forms, W4 forms, and other forms that the PEP must sign before starting employment. Personnel files: Preparing personnel files, making sure all current, signed and correct documents are in the PEP files. Project Folders: make sure all project folders are in correspondence to the personnel files of PEP workers whom were hired for that project. Monitor progress of each project including constant filing of weekly summary sheets, provide Project close out reports at the end of the projects that are completed. Keep track of PAF employment and termination PAF’s.

Dedicated a lot of volunteer hours.

Timekeeper: Prepared timesheets for all PEP employees and calculated time from timecards to prepare timesheets. Work with Leave forms and comp time forms to generated and calculated hours. Timesheets submitted to AMS for payroll process.

Completed all close out reports for all projects of the FY2016. Complete daily cash and money order deposits for AMS, update/purge all files and keep up with the timeframe of projects. Type correspondences to all staff and AMS to structure and reminder of the policies as well as monitor PEP staff.

Provided detail service reports from gathering data for the FY2015. Updated and remodified forms.

Overall my duties are to make sure all the Project Folders are completed and that all personnel files are done properly with proper signatures.

Monitoring the daily operation of the Shiprock chapter to where all documents are signed and filed correctly for audit reviews. This means structuring the policies and procedures of the Shiprock chapter and FMS. Making sure all files in records room is accurate and that all files are monitored daily.
