08/2014 to present Deering Estate Foundation Palmetto Bay, FL Office Manager

● Served as the gatekeeper for the organization by managing all day-to-day office operations, communications, organizational literature, supplies and equipment, keeping the office organized and running efficiently while overseeing a team of 3 employees.

● In addition to Office Manager duties, I also performed the following job duties under the appropriate titles:

● Marketing and Public Relations Coordinator: Leveraged the website, Constant Contact and Facebook, Twitter and Instagram to promote the Foundation and appropriately engage members, donors, stakeholders, etc. Implemented strategic and innovative PR campaigns through the use of social media and online marketing.

● Membership Coordinator: Coordinated corporate and general membership marketing, sales and promotions including community outreach, print and electronic media. Coordinated ad-hoc Membership Committee of the Board - directed meetings and agendas, prepared meeting minutes and provided staff support to carry out and accomplish established goals & objectives. Prepared membership reports, charts and graphs as needed for meetings and presentations.

● Development Assistant: Secured financial resources for special events by soliciting individual, corporate and in-kind sponsorships through the creation of sponsorship packages providing for the fulfillment of benefits agreed upon and related tax letters. Identified and researched first-time and existing members to identify those capable of making major gifts and communicated to Executive Director and board to cultivate and solicit. Assisted in the development of strategies to engage/connect them more closely and meaningfully to the organization.

● Grants Administrator: Managed grant projects to include contracting of services, procurement, preparing and maintaining schedules, deliverables, accounting records and assembling applicable evaluative measures in compliance with the grant agreement to ensure timely reporting.

● Volunteer Manager: Recruited, managed and terminated volunteers – spearheaded the cultivation, development, recruitment, selection, training and assignments of volunteers fulfilling the Foundation’s needs as identified, while strengthening community partnerships with local community and civic organizations and corporations seeking service.

● Special Events Assistant: Solicited in-kind donations for auction items; coordinated and managed operation of both live and silent auctions; coordinated event related appointments, tours, meeting and visits; managed appropriate ticketing, attendance and event check-in systems; established, documented and communicated appropriate logistical and operational procedures to staff, volunteers, consultants, contractors, exhibitors and participants as needed.

● Bookkeeper: Performed bookkeeping tasks including tracking income, preparing sales and tax receipts, making bank deposits, generating checks for vendor supplies and services, completing monthly bank and credit card reconciliations and filing tax returns under the supervision of the Executive Director, preparing payroll, and monthly financial statements for Executive Director review and inclusion in board meetings.
