JOB DESCRIPTION
POSITION : SECRETARY TO THE GM / COMPANY NURSE
REPORT TO : GENERAL MANAGER
DEPARTMENT : OFFICE OF THE GENERAL MANAGER
KEY OBJECTIVE:
The primary function of this position is to perform diversified administrative support duties to the Corporate Communications Department which include sustaining the needs of the Sourcing and Purchasing Division while subsequently ensuring that all related secretarial and administrative function as a Secretary to the General Manager is served on time.
RESPONSIBILITIES:
1.Specific duties under Corporate Communications Department
a.Assist in sending out inter-office memos and correspondence to be distributed to all departments to highlight news, announcement and new accomplishments of the company.
b.Assist the Corporate Communications Head in sourcing write-ups, photos, advertisement and other marketing tools.
c.Assist the Corporate Communications Head in sourcing, planning and organizing special corporate functions as the need arises.
d.Facilitates and coordinates with travel and tour agencies regarding travel needs both local and abroad of the key officers of the company
e.Represent the Corporate Communications Department to the following committees:
1. Emergency Response Team
2. 5’s Team
f.Assist and coordinates bookings for the Hotels and other travel needs of the key officers and visitors of the Company
g.Performs other duties as instructed by the Corporate Communications Head and any other additional task to be added hereto.
2. Functions as Secretary to the General Manager / President:
h.Makes, takes and screens both local and international calls for the General Manager to ensure smooth communication within the executive office.
i.Ensures effective records management, sends fax messages, scan and photocopies documents for the General Manager and Corp. Communications Office.
j.Prepares draft correspondence as per instruction of the General Manager.
k.Takes down and distributes the minutes of the Mancom meetings.
l.Keeps accurate appointment schedules, calendar of activities and reportorial requirements.
m.Reminds the General Manager on meeting schedules (internal and external) as well as other upcoming activities, ensuring that nothing is missed out.
n.Safe keeps of the personal and official documents of the Office of the General Manager and ensures that all confidential files and document are kept safe.
o.Acts as a central communicator whenever the General Manager is outstation (out of town or out of the country)
p.Reads, validates and reviews all incoming memos, communications and other pertaining documents submitted to the Office of the GM in order to determine significance and plan distribution before forwarding to the GM for signature and approval.
q.Creates and fills up Purchase Requisition needed by the Office of the GM..
r.Provides necessary data, documents and information needed by the General Manager during the meetings, presentations and other events. Such reports and presentations that will require PowerPoint and Movie Maker Software.
2.Functions as Company Nurse
a. Provides assistance to employees by giving first aide measures
b.Assist in the administration of company initiated benefits: HMO, SSS sickness Notification, Employee accident form, Sick leave
c.Coordination with accredited hospitals and clinic
d.Coordinate with Safety Head for safety programs and requirements
e.Creates report on work related injuries
f.Monitors medicine stocks and prepares purchase requisition for lacking medicines
g.Assist HR during implementation of Annual Physical Examination and wellness program
h.Prepares monthly health reports
i.Assigned as Nurse on Duty as needed
