With reference to the advert that appeared in The Nation of March 19, 2016 I write to apply for the above mentioned post.

I am a Malawian lady aged 30 years with a Diploma 1 in Business Management ABE. I have been employed in the Administration field for 4 years and Facilitator for 1 year my job involved receiving incoming messages and posting it to the right personnel, procurement, conduct trainings for Village Risk Management Committee/ Food Management Committees on their roles and responsibilities, writing reports, announce entitlements and donors of the Food and cash transfers to the beneficiaries before commencement of the respective modalities, printing, photocopying, scanning, receiving money and reconciling it. Currently I am working with Plan International on the WFP project as an Administration and Logistics Officer and Facilitator at Mzimba south WFP office my job is coordinating procurements, developing and maintaining a fixed asset register, comprehensively managing all liquidations, verify and validate beneficiary list and ensure that there is full involvement of the Village Risk Management Committee during selection of beneficiaries, maintaining proper and clear records and preparing and sharing statutory plans and reports. With the wide experience and exposure I think I am the right candidate for this post.

Summary of Duties and Responsibilities

-To facilitate the selection and revamping of the Village Risk Management Committees (VRMC)/ Food Management Committees and ensure that the committees comprise of at least 50% women.

-To conduct trainings for VRMC/ Food Management Committees on their roles and responsibilities.

-To verify and validate beneficiary list and ensure that there is full involvement of the VRMC during selection of beneficiaries.

-To facilitate beneficiary registration and ensure that all documentation pertaining beneficiary registration are updated periodically to include relevant and significant information.

-To ensure that Master Beneficiary List with gender specification and other relevant documents/forms are available before commencement of any food distribution and cash transfers.

-Based on the distribution plan, to inform the VRMC and Food Management Committees on the quantities expected for the allocation; ration/cash equivalent and the expected date of arrival of the food and Cash transfers.

-To announce entitlements and donors of the Food and cash transfers to the beneficiaries before commencement of the respective modalities.

-To conduct dialogue sessions with beneficiaries on different thematic areas to enhance their knowledge and skills.

-To ensure physical count of commodities before and after every distibution and facilitate reconciliation after every cash transfers with the FSP.

-To facilitate proper FDP set up and distribution process in collaboration with the respective Food Management Committees and ensure that proper procedures are followed at all times.

-To provide a report to the District Coordinator after each distribution using the recommended templates.

-Comprehensively managing all liquidations (fuel and cash advance) by following Plan procedures.

-Maintaining proper and clear records for all Administration and logistics transactions.

-Preparing ad sharing of statutory plans and reports on time and with quality.

-Promoting and abiding by plan policies and procedures including but not limited to: Gender equality, mainstreaming, Child Protection Policy, Code of Conduct, Anti-Fraud Policy.

-Supervising 3 Drivers, messenger and managing of vehicles.

-Assisting preparations of Workshops manuals meetings and seminars.

-Keeping and managing the petty cash float and cash in advance for allowances and fuel cards.

-In the absence of District Coordinator liaising with the M&E or other officers to avoid delay with inquiries and correspondence.
