HR Administrator – Habtoor Leighton Construction Education and Training Academy (May 2013 to present)

Support the trainers in administration and development of trades (Basic Carpentry, Masonry, Steel Fixing) and management (Leadership, Communication Skills, Quality Management etc) training programs as well as in preparation of training materials and presentations.

Coordinate with Internal and External training providers and monitor training schedules and availability of training facilities.

Prepare reports and summary of assessment of trainees and ensure that training database is updated.

Provide HR support and advice to employees and line managers, explaining policies and procedures in a timely and effective manner.

Assist in internal and external recruitment of staff for Corporate Business Unit and Associated Businesses.

Analyze new hire packages and salary review for cross checking against C&B structure.

Support in enhancement of Enterprise Resource Planning System (ERP) for HR through coordination with Business Units HR and IT for development requirements.

Ensure that benefits for Corporate BU employees are administered accordingly as per policy and contractual agreement.

Coordinate employee movements and transfers for Corporate Business Unit and Associated Businesses.

Liaise with PRO regarding visa matters for new hires, existing and departing employees.

Facilitate processing end of service benefits of leaving or transferring employees. Update and safe keep Corporate BU employee files.

Provide data for and prepare management reports. Draft HR related correspondences.

Procurement Coordinator (December 2010 to October 2011)

Verify material delivery to ensure that invoices and site materials receipts (SMRs) are processed to the Finance Department for payment preparation.

Follow up preparation of transmittals to be sent to the Finance Department for LPOs and supplier invoices.

Check supplier statement of account and ensure that all invoices comply with the related purchase order’s payment terms.

Coordinate with Finance Department for reconciliation of supplier’s statement of accounts.

Ensure system is fed with correct and accurate data and that the flow of data between Project sites, Procurement Department and Finance Department is smooth.

Apprise suppliers of their payment passing status to Finance Department.

Ensure that the (ERP) system is integrating all processes related to supplier document passing smoothly.

Expedite delivery of materials to the site to avoid any delay in the site’s schedule. Train site personnel for the decentralized ERP facilities related to generating

Requisition, SMR and passing of Invoices to Accounts.

Do material requisition for the department and Qatar Projects and process corresponding eSMR upon receipt of the materials.

Secretary - Procurement Department (November 2008 to November 2010)

Report directly to the Corporate Procurement Director. Keep track of incoming and outgoing documents.

Screen calls and direct to concerned personnel. Monitor files for action of concerned purchasers and ensure they respond in a timely manner.

Coordinate with the suppliers and sites regarding billed materials and ensure that materials delivered and received by the site are as indicated in the LPO before submitting such document to Accounts for payment.

Encode invoice data in the ERP system and forward such document for further processing.

Create transmittal to Accounts of LPOs with invoices and Site Material Receipt (SMR) using the ERP.

Consolidate bids submitted by scrap dealers for approval of the Corporate Procurement Director.

Maintain library of catalogues and profiles of material suppliers.
