First Oceanic Property Management, Inc is the property management arm of three of the major real estate developers in the country: Megaworld Corporation, Suntrust Development, Inc and Empire East Landholdings, Inc.

The extent of my job as a Corporate Planning Officer revolves around three important organizational and operations aspects such as: Planning, Research and Document Control and Records Management.

1.Planning

a.Lead and assist in development of strategic plan (long term, 3 t 5 years) and operations plan (1 year)

b.Monitor and report status of monthly (for Oplan) and annual (for Strat plan) performance.

i.Organize and coordinate the conduct of the annual strategic and business planning cycle.

ii.Ensure full & proper documentation and communication of the strategic and annual business plan using Balanced Scorecard, Strategy Map and Dashboard.

iii.Construct and develop positional/functional organizational structure.

iv.Analyze and propose new corporate systems, procedures and policies.

v.Coordinate, in collaboration with all departments, the preparation and reporting of monthly financial results analysis in collaboration with operations, accounting and other departments.

vi.Managing & coordinating the design & use of the business intelligence system reports (ie existing Billing & collection system) in relation to strategy implementation monitoring and control, and in collaboration with IT and other departments.

vii.Project management as may be assigned on a need basis.

2.Research

a.Monitor trends in MERTS (market, economic, regulatory, technological, socio-cultural) which have relevant impact on property management industry.

3.Document Control and Records Management

d.Mapping of current/existing processes and procedures and undertake process/process owner evaluation.

As a management associate, I am working with the newly appointed President of the company and is currently taking charge of ad hoc projects such as organization and is helping out in the development and creation of some the business processes. To be specific, I have created the documents management procedure in accordance with the management mandate of systematizing, simplifying and standardizing the business processes and ensure the smooth flow of the organizational and operational activities. And to augment the policy campaign, is the conceptualization of the FOPM iKNOW! Project, a project to boost the internal communication and appreciation of the newly approved and reapproved company policies.

On the organizational side, I have already conducted climate surveys, organizational researches/reports, and interviews which has aided policy-setting of the organization.

On a periodic basis, I am in-charge of the President’s report to the Chairman of the company. The report contains strategic, operational, organizational and financial facets of the company. This report is a combined effort of the functional department heads, and is focused on hitting various organizational and operational targets.

In addition to the administrative tasks, is being able to bring in and build the backbone which fosters collaboration, inter-departmental cooperation and efficiency.

Philam Properties Corporation (PPC) an affiliate company and property development arm of Philippine American Life and General Insurance Co. (Philam Life).

My responsibilities as Executive Assistant for the past four (4) years are summed up mostly on the administrative and clerical. On normal days, I maintain the executive calendar for scheduling of appointments based on the executive’s organization and operational responsibilities. As the assistant, I manage access to the organization head by means of screening phone calls and visitors with a strong degree of judgement and discretion in determining appropriate course of action, and alongside with that, I interact and communicate with delegated authority between the organization head and subordinate units by means of relaying instructions and information and follows commitments through completion.

For the past four years, I am able to independently develop and draft business correspondences, work instruction and memorandums regarding the organization head’s decisions, ideas and agenda on critical organizational and operational matters. And on the flip side of the coin, I manage and monitor variety of information which impacts the responsibility of the organization head to whom I report.

The financial side of my responsibility is more on the departmental budget preparation, monitoring and reconciliation of the departmental or program budget, and tracking of budget versus expenses both manually and with the use of software (in the case of SN Aboitiz, there is Oracle to aid me on this). This has challenged my analytical skills, since I have to report to the organization head, the department’s financial performance on a periodic basis.

Most of my clerical jobs include assembly of information for various reports, briefings, and conferences. Making travel arrangements, scheduling of regular meetings, preparation and summarization of key action/recall items for timely resolution and for follow-up to concerned subgroups.

I have a natural enthusiasm in reviewing, proofreading and tracking by means of online database for all incoming mails and documents for sign-off and/or approval of the superior. In fact, I have helped the organization in establishing and maintaining on hand, a 3-year paper and electronic files of pertinent documents, meeting materials, memos, work instruction necessary for future use and for ease on retrieval of information.

The Nacionalista Party Media department deals with the tri-media so as to shape a strong public image. My major responsibilities include news monitoring, and media releases (mainly photos) of the immediate family of the Nacionalista Party President Senator Manny Villar and Congresswoman Cynthia Villar.

On the flipside, are minor assignments which continuously make me multitasked; doing administrative functions such as filing, retrieving, safekeeping of media files, assist the immediate family of Senator Villar in their Press Conferences, and other functions which includes the tri-media, assists in presswork (fact checking, information gathering, and other technical support).

Have dealt with advertising experts in providing them appropriate photos, that will be used in different campaign strategies (i.e., posters, tv ads, etc).

During the 2009 campaign period, Media department provided overall assistance to the immediate family of the Presidential candidate, Senatorial candidates, performers and VIPs for major rallies in different locations in the Philippines.
