Building Administration and Engineering Department

BAED is responsible for but not limited to:

Provision of operation, maintenance, repair and up-keep of the building facilities.

Implementation of safety and security measures and controls for the general comfort of the building occupants.

Ensure compliance to local and national laws.

Overview of the day-to-day services and operations of BAED which focuses on three major Key Results Area (KRA):

A.Building Operations and Maintenance

B.Safety and Security

C.Space and Capacity Planning

D.Shall be responsible for the preparation of CER and to provide justification for BAED related asset acquisition.

E.Responsible for but not limited to: BAED Operations including planning, management, implementation of safety and security policies

F.Shall be responsible in ensuring that all methods and procedures, controls being implemented is aligned with the regulatory standards of ISO 9001, ISO 27001, HIPAA, GLBA, PWC, PCI and etc

G.Responsible in coordinating with the Building Administrators (if applicable) for all issues concerning the comfort of building occupants.

H.Engineering and Maintenance

a.BAED is responsible in ensuring that all equipment is in normal working condition that can support the Operations requirement.

I.Housekeeping Services

a.Facilities Up keeping through proper housekeeping management is another major task of BAED Group

b.Housekeepers are deployed to perform housekeeping related activities. Each team has a Team Leader that oversees the overall activities within the shift and ensures that task is performed accordingly.

c.Housekeeping tasks is done on a daily, weekly, monthly or quarterly basis depending on the need and whenever necessary.

b.Fixed Asset Inventory which includes headsets, prongs and lockers

d.Meeting and Training Rooms Management

Drive value in all aspects of facility operations aligned with current plan/direction of Global Real Estate group.

Day-to-day cost control aligned with budgetary OPEX for year

Oversees and processes Vendor payment through coordination with our Singapore Accounts Payable team and approvals coming from US management (charges are per cost centers).

Collaborate with key stakeholders: US Management, EMEA Procurement, AP Accounts Payable, AP Legal, NOC Operations and Makati Sales team including administration of POP sites with colocation partners such as Bayantel, PLDT, Innove (Globe Telecom)

Real Estate Transactions, Project Management, Finance, Enterprises Services (ES) etc.

Single point of contact to co-ordinate with users and the appointed ES outsourced vendor. ES manages the soft services for the bank including travel, mail room, couriers, cafeteria and reception.

Manage the outsourced Facility Partner, including clearly communicating performance standards, ensuring measurable commitments and timely performance reviews against those commitments.

Effectively deliver the Verizon’s real estate requirements, which include implementing facilities management policies and best practices to successfully deliver services consistent with agreed service levels and as part of Verizon and Real Estate Management’s direction.

In conjunction with the Facility Partner, work with Interior Designers, Engineering Consultants and Project Managers for medium to large scale fit-out work as well as managing smaller scale moves and changes projects.

Manage users’ expectation – ensure quality of workmanship, manage budgets and ensure projects are completed within the agreed timeframe.

Work with the Technology and Security Departments on renovation projects and general building maintenance issues. Develop strong relationships with key infrastructure groups and develop a structured engagement model and strategic framework.

Country single point of contact (SPOC) to co-ordinate with the users and business heads to understand headcount projections and match capacities for optimal use of space.

Liaise with the US, EMEA, Australia, Japan, HK and Singapore office and provide regular key statistical reporting.

Vendor management - working with the outsourced Facility Partner and, where appropriate, Vendors and Partners accreditation to present service/vendor recommendations to management, effectively communicating the business case and negotiating with key internal and external stakeholders based upon a thorough understanding of vendor capabilities and industry options. Manage the implications of operational changes. Maintain an appropriate and consistent level of vendor management.

Key Participation in Site Emergency Action Plans, Business Continuity Plans including Emergency & Crisis management and reporting.

Manage sites Waste and Disposal Management in accordance with set Verizon standards, policies along with Philippines Environment policies and procedures.
