Provide administrative support for Operations Directorate (Central Production Services Division) consisting of a staff of 75 employees and 55 self-employed POV contractors. Also assist other employees within the Agency `
Process complex self-employed Video Editors, TV Directors, Make-up Artist, ENG Cameraman POV contractor’s invoice along with outside vendors billing for programming services, supplies, equipment or parts via electronic invoice payment. Process invoices immediately to adhere to the 30 day prompt Payment Act to avoid late penalty payment.
Correct and resolve billing errors prior to processing and submitting invoices for payment to the CFO office. Returned any incorrect invoices back to the vendor for correction when necessary to adhere to a proper valid invoice.
Route mail, scan, email, fax, incoming and outgoing calls to the appropriate designated office Manager, Administrative Staff and/or staff employee.
Maintain monthly record keeping of all incoming invoices for tracking purpose to avoid payment duplication and submission of invoices to CFO for payment.
Prepare procurement funded orders in the budget and procurement Momentum system for government credit card purchases and/or requisitions for equipment, supplies, parts, service, and self-employed contractors for various Services areas within the Central Productions Services Division.
Maintain procurement and time attendance files for Administrative Officer and Administrative Assistant kept on a fiscal year basis. Dispose of files when the time life has expired based the government Agency policy. All documents were properly disposed to avoid violating of exposing personal document information.
Serve as timekeeper for a staff of 30 employees. Process timecard in the Agency DFAS payroll system on a daily basis and submits biweekly. Adjust timecard by amending changes made by the employee. Serve as backup to other Division timekeepers in their absence. Knowledge of policy regulations for Time & Attendance.
Pick up and deliver office mail to various offices within the Agency. Xerox documents and distribute when required.
Type draft documents in final format and other documents on the appropriate form in the Agency forms data base.
Analyze and resolve staff employee problems with payroll, invoices, do research of information for backup with supporting documentation to resolve the matter.
Research Sam.gov data based to ensure that all vendors doing business with the federal government go through Dun and Bradstreet to get a valid Duns Number and register their business in Sam.gov. Alert vendor if registration has expired to update their registration.
Maintain inventory for office supplies. Assist Administrative Officer with the restocking of supplies based on the office needs.
Assist with call in repairs of government-owned equipment: Xerox, fax, scanner, computers, and printers and office moves. Assist staff employees with furniture, office equipment setup and phone service with the Agency Facilities and/or Telecommunications office.
