Responsibilities:
Administrative & Office Management duties
Provide administrative services including drafting letters and organizing meetings for the Ghana
Country office especially Finance & Administrative Department and the Country Manager.
Create files for incoming and outgoing correspondences of the organisation
Manage the front desk including the telephone console for the office
Manage office petty cash ensuring that all requests are approved before cash is disbursed and
ensure that petty cash float is replenished at the appropriate time
Prepare and submit monthly petty cash request for Finance Officers review
Assist in processing finance requests including writing cheques and preparing payment
vouchers.
Prepare and submit quarterly timesheet for submission to finance officer

Logistics Duties
Ensure proper record of the movement of items from the stores as well as ensuring that stock-
out items are replenished
Coordinate purchase requests on behalf of the Procurement Committee
Ensure that all office assets are properly insured
Prepare weekly vehicle movement schedule
Ensure that all office computers, air conditioners, fire extinguishers are in good working
conditions at all times
Liaise with Regional Logistics Officer to ensure that office generator is fuelled and always in
good working condition to be used in cases of power outage
Front Office
Receive visitors to the office, be the first point of contact, provide pertinent information or
direct them or arrange an appointment with relevant staff member.
Set up appointments for Country Manager and other programme staff.
Receive, register, acknowledge and distribute contents of mails from other offices.
Ensure out-bound mails are sent out regularly to designated offices.
Keep and update reference numbers for outbound mails.
Update internal telephone/email contact list for the country office and distribute to staff
members.
Office Support
Provide secretarial support to the Programme and Finance teams (Filing, photocopying,
etc.)
Assist in typing reports and documents for programme and finance teams
Establish a filing system and archiving of paper and computer files.
Ensure business registration documents are in order and filed according to Statutory
requirements.
