RESPONSIBILITIES

Manage the centralized, semi-monthly payroll function for the US region of a multi-national student housing company. Currently includes approximately 600 active employees, encompassing 34 owned and managed sites

(including corporate office) in 11 states. Timely and effectively maintain communication with U.S. staff and outside parties related to the department.

Personally designed and deployed proprietary data management solutions on the Microsoft Access platform related to Finance, Treasury and Payroll functions. Custom applications currently being utilized include: 1) Time Entry Application housed on company Citrix network server and utilized as the sole timekeeping system for the U.S. operations.

2) Payroll Billing Application which includes updating tables with exported ADP data in order to produce intercompany site billings. Also used to pull data per site to facilitate critically timed operating account bank drafts to fund semi-monthly payroll.

3) Cash Manager Application used to house/report on expanded information regarding approximately 200 demand deposit bank accounts (used for 5+ years as the daily cash reconciliation ledger). 4) Workers’ Compensation Application which must be updated and maintained with current state premiums and related discount rates to apply to monthly site intercompany billings that the application produces.

Maintain detailed knowledge of the ADP and MS Access report writing/query building tools in order to produce payroll related reports and ad hoc analytical reports for company managers and outside auditors

Supervise Payroll Assistant/Accounts Payable Administrator.

Ensure corporate and site managers are trained in ADP Portal and payroll-related processes relevant to their job functions. Design and present live, web-based learning sessions and lead local onboarding sessions with company managers related to ADP Portal usage, payroll procedures at the site level and accounts payable training (proper G/L coding and use of forms).

Build and maintain automated online forms for general company use. Currently includes Human Resources Personnel Action Form, company expense report forms, wire transfer request forms and Accounts Payable coding forms for site and corporate office use, HR Incident Reports, Employee Direct Deposit Request forms.

Compile information and produce semi-monthly payroll journal entries and monthly fringe benefit entries. Maintain reconciliation of general ledger to monthly activity related to payroll, employer taxes and fringe benefit payables and site billings.

Maintain payroll information by designing systems; directing the collection, calculation, and entering of data.

Update payroll records by reviewing and approving changes in exemptions, insurance coverage, savings deductions, and job titles, and department/division transfers.

Determine payroll liabilities by approving the calculation of employee federal and state income and social security taxes, and employer's social security, unemployment, and workers’ compensation payments.

Comply with federal, state, and local legal requirements by studying existing and new legislation; enforcing adherence to requirements; and advising management on needed actions.

Maintain high level of confidentiality to protect sensitive payroll data and personal employee information.

Produce monthly intercompany billings for fringe benefits which includes processing ADP labor distribution detail downloads to ascertain accurate, per site, employer-related charges for FUTA and SUTA taxes, medical benefits, life insurance, long term disability and 401k employer match liability.

Maintain reconciliation of primary, operating bank account to general ledger to ensure adequate cash flow for daily operations.

Act as primary administrator for all online banking software applications. Oversee secured access for accounting staff at corporate and site level. Ensure all internal cash transfers and FedWires are accomplished and accurate Serve as co-administrator (with current treasury manager) for Bank of America Corporate Credit Card Program.
