Responsible for the licensing requirements by the Office of Family and Children Services. Handle all requests made on an ongoing basis. Make sure all classrooms are staffed as required by the Office of Family and Children Services.

Organize the accreditation package for National Association for the Education of Young Children.

Organize and submit annual immunization report on children as required by New York State

Supervise the work of the office staff to be sure everyone is producing efficiently and timely. Hire additional help when necessary.

Schedule the multi-purpose room; organize conference days and special events

Handle paperwork and brochures for new programs established throughout the year.

Maintain personnel files on new staff members. Follow-up to ensure appropriate information is maintained.

Assist executive director and controller with school’s insurance and staff’s medical, life and pension plan. Work with broker/agent on both plans regarding policy issues, appropriate coverage, etc.

Record all staff absences and replace with appropriate substitute teachers (before and after hours). Payroll reconciliation and tracking of hours for the outside payroll company.

Write and place of all classified and program advertisements

Ensure monthly board minutes and agenda are sent out. Assist with arrangements for special meetings. On-site Board of Trustees coordinator.

Assist in annual Dinner Dance fund-raiser netting $100,000.

Train/Assist staff on software programs. On-site hardware support.

Arrange for necessary repairs and annual inspection of equipment with various venders/services.

Update, organize and change five handbooks, five school year brochures, two summer brochures, and applications annually.

Organize two 2000 piece summer mailing annually.

Accounts Payable – pays, filing and tracking. Contract reviews, renewals, payment plan for contracts. Price analysis of various types of equipment. Spread sheet projects relevant to statistics on programs implementation of internal control procedures.

Monthly status of program usage and enrollment of all programs. Review classroom supplies and equipment.
