Contract Department/ Reception
Receptionist duties include scheduling visitors, open and sort mail for all departments and sales people, answering a multi-line phone system, tracking key and executive people in office, overhead paging system for building, watched security alarms and cameras, ordered office supplies for department, greeting guests and issuing visitor badges when needed.
Inventory management consists of invoicing high dollar value parcels, invoicing and posting purchase orders- EDI and manual, Inspecting, tagging and bagging merchandise. Pulling/ picking orders according to customer orders and rush orders. Coding Fed Ex and UPS invoices for accounts payable to make sure of correct charges and details. When invoicing, in-charge of making sure vendors charged us appropriately. Adhered to strict guidelines in system for the price for each item, (i.e. if there were any discrepancies, contacted the vendor to work out the issues and matters.)Run vendor reports and tracking, kept vendors on-track with delivery dates with daily/ weekly emails or Skype communication, acted diligently with tracking to create an inventory of merchandise to sell to customers and keep customers happy with our delivery timeframes. Tracking discrepancies or issues in Excel documents. Working with lean processes with co-workers to find changes in each area that created more efficiency with time management.
Team Leader duties included opening and closing vault for high value merchandise daily, assisting team members with any questions or issues, time off requests, managing timecard entries, quarterly and yearly reviews, training new employees, inventory cycle counts, working closely with merchandising department on details of new merchandise, pricing, purchase orders, inspection percentages, working with vendors to keep purchase orders on time, reporting up to operations manager with any discrepancies or issues each week, assisting the reception desk and managing a schedule for coverage.
Project coordinator with merchandise, sales staff and New York office staff, organizing merchandise to be shipped to jewelry shows in many states.
