Working in a team at the legal administrative section, organization, control, purchase, travel, hire internal and external employees.
I was working since 1995 to 2013 in the Organization of American States in Washington DC USA, at the Secretariat of Legal Affairs, in long term projects about Human Rights, Justice and Person with Disabilities and Minorities groups, in Nicaragua, Panama, Paraguay, Argentina, El Salvador, Costa Rica and Guatemala.
Duties and Responsibilities:
1. Maintain a log on decisions taken by the Secretary of Legal Affairs, and follow-up implementation; analyze the recommendations of the Directors of the Departments, external partners and other Organization of American States (OAS) bodies; Oversee analysis of administrative procedures. Follow-up, make recommendations and prepare drafts in response to administrative matters; Analyze and make follow-up on recommendations from the offices of operations; Monitor decisions from Secretariat of Financial Affairs (SAF), Permanent Council of the Organization of American States, Committee on Administrative and Budgetary Affairs (CAAP) Working Groups that are of relevance to the Secretariat.
2. Organize and follow-up meetings; Prepare substantive reports/briefing notes for the Secretary; Co-ordinate the follow-up functions for the Directors; Act as secretary in meetings, circulate documentation for the meetings and follow up on decisions taken; Participate in meetings during the absence of the Secretary and prepare briefing notes for him/her; Help oversee the preparation of issues for the CAAP, SAF, Permanent Council, and Permanent Representatives and follow-up the meetings and decisions of these bodies.
3. Set up systems, organize and coordinate the efficient functioning of the office of the Secretary. Supervise the administrative staff in the Secretariat. Establish standards of performance and ensure that staff competencies are developed. Liaise with DHR. Deal independently with matters that do not need to be brought to the Secretary attention. Consult with appropriate managers and draft replies; Prioritize important correspondence and issues. Ensure that all logs and follow-ups systems for matters coming in and out of the Secretary office are established and followed.
4. Initialize development, together with colleagues in the Secretariat, on special assignments/projects, and participate in specific projects/activities
