Types department memos and other correspondences as needed; composition done electronically thru EC.

Transcribes minutes of physicians monthly meetings.

Receives candidates’ CVs from International Recruitment for Physicians (IRP), for physicians applying for locum and permanent for department chairman and consultants review. Collects all inputs and requests chairman to review for final recommendation. Once decision is made, prepares candidate’s CV summary and memo recommending to hire applicant along with the required documents needed by credentialing committee. Sets candidate’s interview based on candidate and chairman’s availability then e-mail candidate about the scheduled interview to be done either by phone or skype.

On daily basis, inform department chairman through e-mail about her calendar schedule; immediately inform chairman if meeting schedule is canceled as well inform concerned staff if chairman can’t attend the meeting. Updates Department Chairman from time to time of the changes made in her calendar.

Receives, answers and screens incoming calls appropriately; takes message if call back is needed.

In advance, prepares monthly on-call schedule using excel sheet for department chairman and consultants. Email chairman and consultants to check on-call for review/feedback before finalizing the on-call schedule. Final on-call schedule to be placed ONLINE where all medical departments, higher management and concerned departments can view department’s monthly on-call.

Arranges department chairman and consultants vacation schedules (through physician’s service cover form indicating the name and signature of covering physician’s on leave).

Prepares itinerary for department chairman for international trips (arrange flight schedules through Travel Section); prepares delegation of authority for physician to cover during chairman’s absence;

Scans department files for filing separating chairman’s from consultants files.

Requests transportation for chairman’s official engagements outside the hospital, specially visits to other hospitals in the Kingdom mostly as guest speaker.

Receives list of trainees from Training Education Dept. to be trained in Ophthalmology Department.

Posts all important notices on bulletin board for staff information and awareness.

Maintains department’s confidentiality on staff & patients information and medical test results at all times.
